Responsibilities

  • Provides administrative support for the WIC program under the management of the WIC Administrative Services Coordinator.
  • Performs specialized clerical duties in other areas of the health department as required.
  • Engages in direct contact with the public and agency staff, requiring independent judgment in applying office procedures and Federal, State, and local regulations and policies.
  • Provides patient services:
    • Greets patients promptly, professionally, and courteously.
    • Obtains appropriate information and screens for eligibility following program guidelines, Federal, State, and local policies and procedures.
    • Provides accurate information needed by patients for participation in the WIC Program according to guidelines.
    • Utilizes all components of the WIC computer program and follows system security protocols.
    • Maintains complete confidentiality and displays cultural competence at all times.
    • Issues benefits per program policies and procedures.
  • Completes and maintains daily and monthly WIC reports.
  • Completes Voter Registration Declination Forms according to program guidelines.
  • Assists in maintaining the formula logbook to ensure all formula is accounted for.
  • Maintains and processes patient records according to policies and procedures.
  • Follows documentation processes if the WIC Management Information System is not functional.
  • Performs various assigned duties, including:
    • Mailing participant notifications.
    • Scheduling participants for appointments and ensuring the clinic site is adequately supplied with necessary forms and supplies.
    • Assisting with telephone and front desk coverage as needed.
    • Providing overall support for health department activities on-site and in the community.
  • Attends staff conferences and in-services as assigned.
  • Participates in disaster preparedness activities during hazardous weather or declaration of emergency; designated as an essential employee and subject to duty and/or call on a 24-hour basis.
  • Other duties as assigned.

Requirements

  • High school diploma (related clerical experience may be substituted).
  • At least two (2) years' experience in a responsible office setting or an associate degree in secretarial science or related field and one (1) year of experience in a responsible office setting.
  • Ability to travel within and outside of the Pee Dee service area for training or work purposes using a state car or personal vehicle.
  • Any equivalent combination of education and/or experience that demonstrates the required knowledge, skills, and abilities may be considered, subject to approval by the DPH Chief Human Resources Officer or their designee.

  • Institutions of Higher Learning must be recognized by the Council for Higher Education Accreditation.

Preferred Qualifications

  • Bilingual in Spanish and English.
