About the Role

Under the direction of the WIC Administrative Services Coordinator, this position provides direction and supervision to administrative support staff. Collaborates with all disciplines and administration to ensure effectiveness and efficiency in service provision within a culturally competent and customer-friendly environment.

Responsibilities

  • Supervises and instructs WIC team members to ensure client information is entered into the SC-WIC system per program guidelines.
  • Maintains audits, training records, and EPMSs for individual staff.
  • Provides and documents feedback and appraisals for staff.
  • Delivers culturally competent customer service while greeting and conducting interviews with public health clients in accordance with WIC program and agency policies.
  • Answers telephones and schedules appointments as necessary.
  • Processes information, completes medical records, and enters client data into applicable electronic applications or the SC-WIC system.
  • Ensures staff compliance with program and agency guidelines for issuance of e-WIC cards in the SC-WIC system and Farmer's Market coupons.
  • Follows established customer service and cultural competency guidelines, ensuring staff adherence to WIC Program customer service complaint procedures.
  • Attends relevant program and agency training and meetings.
  • Ensures necessary materials and resources are available for administrative staff.
  • Prepares and submits required reports as mandated or requested.
  • Completes other duties as assigned.

Requirements

  • High school diploma or GED.
  • Two (2) years of clerical office experience; or an Associate’s degree in Secretarial Science or a related field and one (1) year of clerical office experience.
  • Applicants indicating college credit or degree(s) may upload an unofficial transcript; an official, certified transcript will be required prior to hiring.
  • Institutions of Higher Learning must be recognized by the Council for Higher Education Accreditation.
  • Any equivalent combination of education and/or experience demonstrating required knowledge, skills, and abilities may be considered, subject to approval by the DPH Chief Human Resources Officer.

Preferred Qualifications

  • One (1) year of WIC administrative experience.
  • Experience providing administrative support or customer service in an office environment.
  • One (1) year of experience providing WIC administrative support.
