About the Role

The Wellness Coordinator supports the day-to-day operations of the Fitness & Healthy Living Department and Wellness Center under the direction of the Associate Director of Health & Wellness. This position ensures the delivery of a safe, welcoming, and high-quality member experience by coordinating wellness programs, supporting staff and member engagement, and assisting with departmental operations. The role plays a key part in Personal Training services, Wellness Center operations, staff communication, and member retention initiatives. It is ideal for an emerging health and wellness professional seeking to build leadership experience in a mission-driven environment. Responsibilities may evolve based on organizational needs and professional growth opportunities. Regular Sunday availability is required.

Responsibilities

  • Personal Training Program Oversight
    • Coordinates day-to-day administrative operations of the YMCA's Personal Training program in collaboration with the Associate Director.
    • Assists with member referrals, trainer assignments, scheduling coordination, and promotion of Personal Training services.
    • Monitors participation trends and program activity to support member engagement and program growth.
    • Ensures adherence to YMCA Personal Training standards, policies, and best practices.
    • Maintains accurate records and assists with program reporting and operational tracking.
  • Staff Support & Development
    • Supports recruitment, onboarding, orientation, and training of Fitness & Healthy Living staff.
    • Assists with staff scheduling, communication, and operational coordination.
    • Supports administration of the Group Exercise program, including instructor communication and class coverage coordination.
    • Serves as a resource for Fitness Center staff, Personal Trainers, and Group Exercise Instructors by providing operational support and guidance.
    • Assists in monitoring service quality and communicating observations to the Associate Director to aid in the performance appraisal process.
    • Promotes a positive team culture focused on accountability, collaboration, and exceptional member service.
    • Tracks staff certifications and required credentials to ensure compliance with YMCA standards.
  • Fitness Center Operations
    • Supports daily Wellness Center operations to ensure a safe, welcoming, and engaging environment.
    • Serves as a visible leader by modeling exceptional member service and YMCA values.
    • Conducts regular facility walkthroughs and communicates equipment maintenance and repair needs.
    • Assists in maintaining cleanliness, organization, and safety standards throughout fitness areas.
    • Supports implementation of wellness initiatives, challenges, and programs designed to increase member participation and retention.
    • Ensures adherence to YMCA policies, safety procedures, and risk management practices.
  • Member Engagement & Experience
    • Maintains working knowledge of YMCA programs, services, policies, and membership offerings to effectively assist members and make appropriate referrals.
    • Builds strong relationships with members to support a welcoming and inclusive wellness environment.
    • Promotes YMCA wellness programs and services in collaboration with the Membership and Healthy Living teams.
    • Maintains a visible presence throughout the Wellness Center to proactively engage members and provide support.
    • Responds to member questions, feedback, and concerns in a professional and solution-oriented manner.
    • Supports initiatives that strengthen member satisfaction, participation, and long-term engagement.
  • Administrative Responsibilities
    • Performs a minimum of 35 hours per week of administrative and operational duties, with opportunities to teach up to 5 hours of group exercise classes or provide personal training.
    • Assists with operational coordination of the Personal Training program and other Health & Wellness initiatives.
    • Supports payroll processing and administrative tracking for Personal Training and Fitness staff in accordance with YMCA procedures.
    • Tracks participation, utilization, and operational data to support planning, reporting, and decision-making.
    • Assists with departmental scheduling to support appropriate staffing coverage.
    • Maintains program records, reports, and related documentation.
    • Contributes to continuous improvement efforts and departmental planning initiatives.
  • Organization-Wide Support/Collaboration
    • Demonstrates commitment to the YMCA’s mission of youth development, healthy living, and social responsibility.
    • Models the YMCA’s core values of caring, honesty, respect, and responsibility in all interactions.
    • Collaborates with colleagues across departments to support a positive organizational culture and ensure a consistent member experience.
    • Participates in meetings, staff trainings, and organizational initiatives as assigned.
    • Supports organizational policies, safety practices, and risk management standards.
    • Assists with other duties as assigned.
  • Philanthropy
    • Understands the YMCA’s charitable status and mission to assure access for all through active participation in fundraising and philanthropy efforts.
    • Works with the Development Team, HR, and key philanthropy volunteers to increase understanding and skill set in fundraising.
    • Trains, mentors, and equips staff to participate in the annual campaign by identifying and recruiting member volunteers and soliciting donations.
    • Builds strategic relationships with members for year-round cultivation to increase the number of member campaign volunteers and donors.
    • Achieves annual support campaign goals through direct participation in campaign efforts and ongoing fundraising.
    • Recruits volunteer campaigners for the annual campaign, secures their campaign gifts, and assists them in achieving departmental goals.

Requirements

  • Previous supervisory experience preferred.
  • Current personal training certification from a nationally recognized organization (ACE, ACSM, NETA, NASM, or equivalent) preferred.
  • Experience in health and wellness or a related field preferred.
  • Strong relationship-building skills with members, staff, volunteers, donors, and community leaders.
  • Able to obtain and maintain CPR, first aid, and AED certifications.
  • Multi-task oriented with effective organizational skills and the ability to take initiative.
  • Strong communication and problem-solving abilities.
  • Ability to respond to safety and emergency situations.
  • Experience with computers and database systems.

Working Conditions

  • Requires availability for early mornings, evenings, weekends, and regular Sundays.
  • Ability to work in a fast-paced environment where multi-tasking is essential.
  • Ability to stand or sit while maintaining alertness for several hours at a time.
  • May require bending, leaning, and walking.
  • Close vision and ability to view computer monitors required.
  • Ability to speak concisely and effectively communicate.
  • Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency.
  • Ability to view/enter data for long periods of time.
  • May have exposure to communicable diseases and bodily fluids.
