Responsibilities
- Prepare, review, and submit manufacturer warranty claims accurately and within required timelines.
- Verify repair orders, labor operations, parts usage, and supporting documentation for claim submission.
- Monitor claim status, approvals, rejections, and chargebacks, taking appropriate action when needed.
- Work closely with Service Advisors, Technicians, Service and Parts Managers to ensure warranty claims meet manufacturer requirements.
- Maintain organized warranty records and documentation in accordance with manufacturer and dealership standards.
- Reconcile warranty receivables and assist with warranty accounting processes.
- Stay current on manufacturer warranty policies, procedures, bulletins, and updates.
- Identify and correct claim discrepancies to reduce delays and maximize reimbursement.
- Assist with warranty audits and ensure compliance with dealership and manufacturer guidelines.
- Provide administrative support to the Service Department as needed.
Requirements
- Previous automotive dealership experience required.
- Previous warranty administration experience preferred.
- Experience with CDK, Reynolds & Reynolds, Dealertrack, or similar dealership management systems is a plus.
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Strong communication and teamwork skills.
- Basic understanding of automotive repair processes, vehicle systems, and manufacturer warranty procedures.
- Proficiency with Microsoft Office / Google Workspace and computer-based systems.
