Serves as the first point of contact for the facility by operating a multiline telephone system, welcoming and screening on-site visitors in accordance with ITAR requirements, and performing a variety of clerical and administrative support tasks.
Responsibilities
- Operates a multiline telephone system to answer incoming calls, determine the purpose of callers, and forward calls to the appropriate personnel or department.
- Retrieves messages from voice mail and forwards them to appropriate personnel; delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Welcomes on-site visitors, determines the nature of business, and announces visitors to appropriate personnel.
- Verifies that visitors meet ITAR requirements prior to granting access to the facility.
- Scans internal paperwork, validates scanned data, and files documents electronically.
- Performs data entry involving sensitive information, maintaining discretion and confidentiality across all levels of information handled.
- Receives, sorts, and routes mail, and maintains and routes publications, as needed.
- Performs other clerical duties as needed, such as filing, photocopying, and collating.
- Complies with all company policies.
- Pursues continuous improvement through training and process improvement.
- Performs other duties as assigned.
Requirements
- High school diploma or equivalent.
- Minimum of two (2) years' experience in a receptionist, office assistant, or administrative support role, or relevant work experience.
- Proficient in Microsoft Office Suite or related software.
- Familiarity with basic office software and equipment.
- Must be a U.S. Person as defined by ITAR (U.S. Citizen, U.S. Permanent Resident, Political Asylee, or Refugee).
- Must be able to report to the assigned office location during scheduled workdays.
- Professional demeanor with excellent interpersonal and communication skills.
- Strong organizational and time management skills with the ability to multitask.
- Able to contribute positively as part of a team, helping with various tasks as needed.
- Ability to perform ad-hoc administrative duties.
- Excellent customer service skills.
Physical Requirements
- Often required to stand, sit, use computers, read, write, type, use copy machines, file paperwork, use telephones, and communicate orally.
- Sedentary work: exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
- Substantial movements (motions) of the wrists, hands, and/or fingers (e.g., paperwork, typing, using mouse/keyboard).
- Close visual acuity required for activities such as preparing and analyzing data, transcribing, viewing a computer terminal, and extensive reading.

Working Conditions
Position is not substantially exposed to adverse environmental conditions, such as in a typical office or administrative work setting.
