Warehouse Coordinator - 2nd Shift

About the Role
This is a multifunctional role with the primary function as a Warehouse Operator. As a secondary requirement, this position will support other operational functions including Packaging Operations, Manufacturing Operations, and Facilities Operations.
The Warehouse Coordinator monitors and controls production demand for raw material, packing material, and finished goods by aligning with the production plan and coordinating with purchase, production, and other teams to support manufacturing effectively while ensuring compliance with cGMP and safety standards.
Responsibilities
- Maintain availability of required materials as per production plan to ensure uninterrupted production and achieve manufacturing OTIF (On-Time In-Full).
- Schedule materials for purchase by aligning with the production plan and follow up for delivery.
- Monitor inventory levels and coordinate with planning and sourcing teams for stock replenishment.
- Indent material for new product launches and follow up with purchase for timely delivery.
- Provide status updates on new product materials during tech transfer meetings.
- Monitor store operations for cGMP compliance and set standards to meet regulatory requirements and audit readiness.
- Ensure proper receipt, verification, segregation, storage, labeling, and accounting of packing materials.
- Ensure materials are stored according to proper storage conditions with required segregation based on material properties.
- Verify all required materials are received as per SOP and properly accounted for.
- Monitor retest schedules, raise retest notes for packing materials, and ensure release as per packaging plan.
- Prevent cross-contamination of materials by strictly following procedures.
- Collate and prepare documents for change controls, deviations, qualifications, and validation studies as per cGMP.
- Ensure real-time, accurate data entries in systems and documents by reviewing them during dispensing.
- Generate reports of next inspection dates for materials and raise goods receipts (GRs) as per production demand.
- Prepare receipt, issuance/dispensing, and accounting of materials.
- Follow up for clearance of rejected materials with purchase and coordinate with unit QA for timely removal.
- Control and handle damaged containers as per SOP.
- Manage disposal of non-moving or slow-moving items and ensure clearance before expiry to control inventory costs.
- Review non-moving and low shelf-life items periodically and ensure timely disposal.
- Coordinate with other Cipla locations, purchase, and planning for salvage of non-moving inventory.
- Ensure safety requirements are met by updating the team about revised guidelines to avoid incidents or accidents and comply with HSE norms.
- Monitor the use of proper safety appliances during material handling by store personnel.
- Identify potential hazards and hazardous materials, ensuring proper handling for storage, receipt, and issuance.
- Maintain sanitation and hygiene in store facilities to ensure audit readiness.
- Ensure correct status labeling for materials, accessories, and equipment by checking labels.
- Monitor activities related to new equipment (purchase, commissioning, handover) as per cGMP requirements.
- Procure new equipment as per product and GMP requirements.
- Monitor equipment installation and prepare qualification documents and SOPs.
- Prepare dispatch plans for finished formulations as per schedule to meet OTIF.
- Follow up with QA for timely release and arrange vehicles for scheduled dispatch.
- Plan distribution of materials as per customer requirements by coordinating with logistics, corporate, and export teams.
- Maintain 100% cGMP and SOP compliance during all operational hours.
- Comply with all company policies and procedures, adhering to the QMS system based on assigned role and rights.
- Complete documents in a timely manner, ensuring accuracy and completeness.
- Report all issues to the department head or reporting manager.
- Perform daily maintenance on equipment and machinery.
- Maintain discipline within the department.
- Assist in training other employees in the department as required.
- Remain flexible to work extended hours to achieve department goals when needed.
Major Challenges
- Delays in releasing materials due to lack of information or changes in production plans (overcome by material forecasting and providing required information to QC).
- Delays in releasing materials due to non-availability of specified materials in the market (overcome by searching for new vendors and empaneling them).
- Space constraints due to delays in clearance of non-moving/expired materials (overcome by obtaining required approvals from finance and purchase and maintaining timelines).
- Re-work due to manual work on material planning and mistakes in store operations (overcome by cross-checking documents).
Key Interactions
- Internal: Central Planning (weekly), Purchase (daily), Production (daily), QC/QA (daily), Engineering (as needed), HSE (daily).
- External: Vendors (as needed), Transporters (as needed), Equipment Suppliers (as needed).
Work involves both individual tasks and collaboration with others, including supporting the QA department in sampling processes and working with QC, Production, Packaging, and Engineering teams. Perform duties safely and efficiently using equipment according to Health & Safety procedures and manuals.
Qualifications
- Graduate or D. Pharm. from an accredited college or university.
- 5-8 years of experience in stores within a pharmaceutical organization.
- Knowledge of material management module in SAP and cGMP in stores.
- Proficiency in English (speaking, reading, writing) to understand work instructions and document results.
- Knowledge of fundamental cGMP and regulatory requirements in a pharmaceutical manufacturing environment (highly preferred).
- Basic understanding of mechanical machinery and operating principles of control systems.
- Ability to follow both verbal and written instructions.
- Demonstrated ability to work in both independent and team environments.
- Good knowledge of Health & Safety procedures, including OSHA.
- Strong mathematical and organizational skills.
Physical Requirements
- Ability to perform heavy lifting and bending frequently.
- Exert force continuously and/or up to 5 pounds frequently, up to 25 pounds occasionally, and up to 50 pounds rarely (using a hand truck to lift, carry, push, pull, or move objects).
- Ability to wear appropriate PPE, including respiratory devices such as Air Purifying Respirators (APR) or Supplied Air Respirators (SAR).

$66,300 - $86,000
