Pacifica Continental is partnering with a leading bank in Miami to find a VP, Head of People Experience.
About the role
The VP, Head of People Experience oversees all HR functions, including payroll, benefits, recruitment, onboarding, off-boarding, and records management.
Responsibilities
- Payroll
- Prepare bi-weekly payroll for processing through a third-party payroll company.
- Certify that time and attendance records are reviewed and approved by department managers in time for payroll processing.
- Review time and attendance records for completeness and accuracy prior to payroll submission.
- Certify that the payroll company generates a payroll general ledger with proper departmental allocations for every payroll and submit to Accounting.
- Administer timely processing of 401(k) enrollments, contributions, matches, loans, quarterly contribution changes, and all other related duties.
- Prepare Payroll Change Notices for all personnel changes.
- Maintain accurate and up-to-date employee and payroll information in HR systems by processing all status changes, salary changes, garnishments, terminations, and withholdings within the proper time frame.
- Process disability payments appropriately.
- Benefits
- Administer various employee benefit programs, such as group medical, dental, life, STD/LTD insurances, and 401(k).
- Maintain accurate and up-to-date employee and benefit information in HR systems by processing all new enrollments, status changes, salary changes, and terminations within the proper time frame.
- Manage leave and paid time off programs in HR systems, such as vacation, bereavement, sick leave, leave of absence, and disability.
- Administer all disability requests and paperwork, providing employees with proper forms and information.
- Assist with benefits planning and administration, including coordination of annual open enrollment, changes in coverage, and reconciliation with benefit providers.
- Coordinate COBRA and other benefits for terminated employees.
- Administer Workers Compensation claims.
- Recruitment & Selection
- Initiate correspondence with Hiring Managers to identify needs for open positions (job description, education, skills/requirements).
- Research existing files for qualifying candidates.
- Place electronic advertisements when needed for open positions.
- Email selected candidates' resumes to hiring managers for review.
- Conduct internal selection processes.
- Participate in interviews as necessary.
- Obtain Senior Management approvals for hiring, prepare offer letters.
- Contact candidates to present offers, coordinate completion of formal applications, and process background checks.
- Compose emails to interviewed candidates not selected.
- Maintain files of all selection processes.
- Onboarding/Off-boarding
- Prepare new hire packages and create new hire access requests.
- Coordinate and conduct new employee onboarding, including adding new employees to HRIS systems.
- Prepare paperwork and conduct all terminations.
- Prepare severance packages and related paperwork.
- Create termination access requests.
- Inform relevant departments of new hires and terminations.
- Endomarketing
- Coordinate, prepare, and execute all internal events (Holiday Party, birthday celebrations, happy hours, social events).
- Develop and execute strategies to motivate employees.
- Create an Employee satisfaction survey.
- Prepare a monthly newsletter.
- Create, prepare, and execute all internal communications.
- Develop the Annual Endomarketing budget proposal.
- Responsible for purchasing and distributing gifts to all employees.
- General HR
- Prepare required daily, monthly, quarterly, and annual reports, as well as special reports as requested.
- Assist in the creation of new employee job descriptions and maintain current/signed job descriptions.
- Oversee sensitive vacation and ensure sensitive employees comply with absence requirements.
- Coordinate and ensure completion of annual evaluations.
- Research and analyze various HR scenarios for management.
- Stay current with local, state, and Federal HR laws, legislation, and trends, and maintain compliance with each.
- Participate in the planning and execution of employee functions.
- Process unemployment claims.
- Provide daily support to personnel and leadership questions.
- Offer guidance to leadership on employee issues and dilemmas.
- Assist in ensuring that staff members comply with safety and other applicable policies, procedures, laws, rules, and regulations.
- Full knowledge and understanding of bank policies, procedures, regulatory, and compliance requirements, including but not limited to BSA/AML, CDD, EDD, and others as defined by the Compliance Department.
- Attend and/or complete all required training as assigned.
- Communicate effectively with other departments.
- Maintain the department Procedures Manual and Employee Handbook as needed.
- Perform other HR duties as assigned by management.
- Additional Duties
- Filing, copying, faxing, or scanning of any departmental reports or materials.
- Train and support HR Assistant.
- Evaluate HR Assistant’s performance.
- Perform other related duties as required to accomplish the objectives of the position.
Requirements
- Bachelor's degree (B.A.) from a four-year college or university in a related area, and 3+ years of related experience; equivalent combination of education, training, and experience may be considered.
Skills
- Ability to effectively present information and respond to questions from directors, managers, clients (both internal and external), and the general public.
- Excellent ability to communicate in English and Portuguese, verbally and in writing; Spanish highly recommended, and in some departments required.
- In-depth knowledge of all bank policies, procedures, and compliance requirements.
- Ability to organize and manage multiple priorities.
- Ability to ensure confidentiality, security, and safekeeping of bank and personnel information.
- Consistently punctual and reliable; ensures work responsibilities are covered when absent.
