Responsibilities
- Make telephone appointments with prospective research volunteers.
- Track and record scheduled outpatient visits by current or prospective research volunteers.
- Comply with Good Clinical Practice (GCP) guidelines and regulations.
- Ensure study data is collected to a high quality in accordance with GCP standards.
- Ensure subject safety at all times.
- Answer and distribute all incoming telephone calls.
- Respond to telephone inquiries from potential volunteers regarding ongoing studies.
- Initiate telephone calls to prospective research volunteers for inclusion in clinical trials.
- Schedule research volunteers for screening appointments, clinic visits, follow-up visits, overnight clinic admissions, and transportation as needed.
- Track screening status and notify prospective research volunteers.
- Assist in screening logistics and distribute copies of informed consent to prospective participants.
- Maintain a computerized database of research volunteers.
- Work with the Senior Volunteer Registration Coordinator to prepare advertising for upcoming studies.
- Provide administrative support to the Volunteer Registration Coordinator as required.
- Process application forms and enter data into TrialOne.
- Track response to volunteer recruiting efforts.
- Work with the medical team and other staff to assess volunteer suitability for studies.
- Assist in obtaining medical records from outside sources.
- Perform copying, faxing, and filing tasks.
- Prepare volunteer files, ensuring all screening forms (study-specific) are included and completed by volunteers.
- Obtain subject identification information (e.g., social security card, Florida driver’s license) and complete W-9 forms; provide two copies of identifications for the volunteer file.
- Conduct follow-up activities, including contacting missed appointments for rescheduling, confirming appointments for the following day, and preparing subject files for the next day’s work.
- Act as Recruitment Lead on assigned studies.
- Perform other administrative and clerical duties as assigned.
Requirements
- Excellent interpersonal and communication skills.
- Good problem-solving and organizational skills.
- Excellent telephone etiquette.
- Ability to effectively plan and assist with tracking study volunteers.
- Associate degree (preferred) or high school graduate with relevant work experience.
- Ability to coordinate, organize, and perform multiple tasks.
- Computer literacy and data entry experience.
- Fluent in English and Spanish.
- Previous experience in recruiting, interviewing, and instructing volunteers.
