Responsibilities
- Coordinating onboarding for incoming volunteers across all roles
- Maintaining a volunteer roster and tracking active assignments, availability, and contributions
- Following up with volunteers on deadlines, check-ins, and project status
- Scheduling interviews, team meetings, and Executive Director commitments
- Drafting internal communications, meeting notes, and coordination emails
- Flagging operational gaps or volunteer needs to the Executive Director
- Helping maintain shared documents, trackers, and organizational systems
Requirements
Strong organizational skills and a natural instinct for follow-through
Ability to manage multiple workstreams and people simultaneously without losing track
Clear, warm written communication - you know how to move things forward with a smile and grace
Discretion with sensitive information about volunteers, participants, and organizational matters
Experience in project coordination, operations, executive support, or team management is a plus
Qualifications
Comfort with tools like Google Workspace, Notion, Airtable, or similar
