About the role
We are seeking a detail-oriented, organized, and communicative Virtual Assistant to support the operational work involved in moving client engagements forward at Brandywine Mergers & Acquisitions, LLC. In this role, you will assist James Keane, VP of Operations, in a fluid environment where priorities may shift as deals progress. The ideal candidate shares our core values:

You will play a key role in keeping client engagements organized, supporting project coordination, documentation, follow-ups, and transaction details.
Responsibilities
- Coordinate operational activities throughout client engagements
- Gather, organize, and maintain financial, operational, and business information
- Prepare and maintain information needed for marketing materials and buyer documentation
- Maintain spreadsheets and activity reports, and deliver bi-weekly progress reports to clients
- Manage client records, tasks, documents, and workflows in the CRM/transaction management system
- Organize and maintain secure deal rooms and keep required files current
- Track outstanding action items from Brandywine’s weekly “all-hands” team meetings
- Follow up on data requests, Q&A requests, and other outstanding information
- Coordinate with internal team members on project timelines, milestones, and deliverables
- Support prospective buyer communications by gathering information and coordinating responses
- Maintain accurate records of buyer questions and answers
- Monitor project progress and generate regular status reports
- Check in with the VP of Operations regarding deals in due diligence and preparation phases
- Prioritize urgent items that arise during due diligence
Requirements
- Strong attention to detail and process
- Clear and effective communicator
- Comfortable questioning processes and suggesting improvements
- Friendly, patient, and able to work well with an easygoing team
- Good sense of humor
- Strong spreadsheet skills, especially in Excel
- Familiarity with profit and loss statements is a major plus
- Able to stay organized and follow through in a fluid environment with changing priorities
- Tech-savvy and quick to pick up new tools and software
- Experience with the following tools is a plus:
- Microsoft 365, especially Excel
- Google Workspace
- CRM & Project Management Systems
- OneHub
- ChatGPT
- Mailchimp
- Dropbox
- Able to pass a background check
Pay
The pay rate is $30/hr. USD.
Schedule
- This is a 1099 contractor position.
- 25–30 hours per week, with the possibility of increasing as needed.
- Hours are flexible, with some overlap required during standard business hours (9:00 AM to 5:00 PM EST) for team meetings and client communications.
- Must be available for potential 9:00 AM EST calls.
We are looking for a long-term (3+ years) team member.
