Veterinary Financial Coordinator
About the role
Bulger Veterinary Hospital is hiring a full-time Veterinary Financial Coordinator to support our Emergency and ICU departments in Lawrence, Massachusetts. This role is ideal for a detail-oriented client service professional who enjoys helping pet owners navigate financial conversations while supporting efficient patient care.
Responsibilities
- Serve as the primary resource for clients regarding treatment plan estimates, payment options, billing questions, and financial expectations while partnering closely with ER and ICU medical teams.
- Review and maintain accurate patient invoices by ensuring services, supplies, departments, and providers are correctly documented and charged within EzyVet and related hospital systems.
- Create treatment estimates, communicate financial plans, and support efficient patient care workflows.
- Provide financial updates for hospitalized patients, obtain additional deposits as needed, and document all client financial conversations within the medical record.
- Educate clients on payment and financial assistance options, including pet insurance, CareCredit, and Scratchpay, and assist with applications and claims when appropriate.
- Address client questions and concerns related to billing, invoices, and financial agreements, escalating complex issues to the appropriate medical team members when needed.
- Develop expertise in hospital billing processes, insurance programs, and payment resources while promoting best practices in charge capture and financial communication across teams.
Requirements
- High school diploma, GED, or equivalent combination of education and experience
- Minimum 3 years of client service experience with demonstrated ability to navigate difficult conversations during emotionally challenging situations
- Veterinary hospital experience strongly preferred
- Strong understanding of veterinary terminology, workflows, and patient care processes
- Experience with billing, invoicing, charge capture, payment collection, and data entry
- Strong attention to detail with excellent organizational and multitasking abilities
- Excellent verbal and written communication skills + Strong interpersonal and customer service skills
- Basic math and financial calculation skills
- Ability to work around sick animals, zoonotic diseases, cleaning chemicals, and other veterinary workplace hazards
- Fluent English speaking and reading skills required
