Veterinary Clinic Coordinator - Bentonville

Location: Bentonville, AR (onsite)

This position’s hiring range is anticipated to be $19.50 to $21.00 per hour, depending on experience.

Schedule

This is a part-time position, and the current schedule is Wednesday, Friday, and Saturday. This is subject to change based on scheduling needs and will be discussed prior to going into effect.

The Clinic Coordinator helps support clinic operations by working directly with clients, assisting with scheduling, and providing pre- and post-visit instructions. This role also manages weekly animal admissions, ensuring all incoming animals receive proper documentation, basic medical care, and that supplies are ordered and maintained. You will assist in clinic work as needed.

Responsibilities

• Coordinate and conduct day-to-day veterinary program activities, including medical appointments, transport logistics, partner communication, maintenance of animal records, and other assigned tasks.
• Perform basic medical care such as medicating, vaccinating, administering subcutaneous fluids, and microchipping under veterinary direction.
• Lead and empower volunteers to support lifesaving care and outcome programs.
• Assist with client communications, including aftercare and emergency support, and deliver superior customer service.
• Maintain a clean and disinfected working environment, controlled substances logs, and accurate patient and client medical data.
• Provide basic care such as feeding, cleaning, walking, and socializing animals temporarily housed or transported.
• Work collaboratively with team members to achieve lifesaving goals, following Best Friends policies and procedures.
• Maintain a safe workplace, model safe work practices, and communicate about unsafe conditions.

Requirements

• At least 6 months of previous administrative or receptionist experience in a clinic or medical setting is preferred. If no clinic experience, 2-3 years of receptionist or administrative experience is required.
• Previous experience in a public-facing role providing exemplary customer service is required.
• A minimum of one year of experience working with animals and providing basic veterinary care is preferred but not required.
• Strong interpersonal skills, ability to work in a team, and professionalism in handling sensitive and confidential situations.
• Ability to work with, leash, kennel, walk, and handle cats and dogs, including those with health or behavior conditions.
• Proficiency with Microsoft Office products (Excel, Word) and familiarity with shelter software or animal management software.
• Strong verbal and written communication skills.
• Customer-centric, non-judgmental approach to engaging with adopters, partners, visitors, volunteers, and colleagues.
• Ability to work in a fast-paced environment with strong organizational skills to manage multiple tasks.
• Resourcefulness, initiative, problem-solving skills, and flexibility to persist until goals are achieved.

Physical Requirements

• Routinely lift 40 pounds and perform daily strenuous activity, including lifting, carrying, reaching, stooping, squatting, cleaning, and bending.
• Perform repetitive tasks for extended periods, including typing and hand motion.
• Sit, stand, or walk for extended periods.
• Work indoors and outdoors in various weather conditions, including extreme heat and cold.
• Exposure to dogs and cats of all sizes, temperaments, and medical statuses.
• Valid driver’s license meeting Best Friends Animal Society’s driver qualification standards; ability to travel, including overnight stays, when needed.
• Daily hours and days of the week may vary; position includes weekends, nights, and holiday work.
