About the role
The Veterinary Coordinator (Dentistry & Ophthalmology) will enhance client experience and improve treatment plan compliance and fee capture. This position serves as the primary point of contact for clients requiring consultations with the dentist or ophthalmologist when the respective specialists are not immediately available.
Responsibilities
- Handle complex or time-consuming financial conversations with specialty clients, freeing up the dentist and ophthalmologist or their teams to attend to other patients or procedures.
- Avoid client escalations by assisting CSRs with in-depth phone calls from clients and PVMs, addressing detailed questions about services.
- Audit all current/open and closed invoices for hospitalized dentistry and ophthalmology patients, producing management reports monthly.
- Participate in department-level meetings and collaborate with the entire VVC specialty staff.
- Create estimates for dental treatments and procedures, present treatment plans to clients, schedule add-on consults/rechecks/treatments/emergencies per specialist approval, and assist the nursing team with call-backs.
- Schedule dental and ophthalmology cases in a timely manner according to clinicians' standards and availability.
- Aid clients with insurance companies and provide medical updates to owners if necessary.
- Assist clients with paperwork and return phone calls as needed.
- Take as many calls as possible for the dentistry and ophthalmology departments to resolve client concerns promptly.
- Ensure records are complete for next-day appointments and follow up with appropriate PDVMs as needed.
- Perform other duties as assigned.
Qualifications
- Previous veterinary medicine experience is required.
- Demonstrated ability to handle escalated client concerns.
- Experience auditing medical records.
