Veteran Certification Coordinator
USC’s Office of Academic Records and Registrar is seeking a Veteran Certification Coordinator to assist in the Veterans Affairs unit.
About the role
This position serves as the primary point of contact for veterans and dependents, providing information, referrals, and guidance to prospective and enrolled graduate or undergraduate students and academic units regarding:
- VA education-benefit policies and procedures
- University curricula and policies
- Transfer work related to degree requirements for graduation
The coordinator maintains accurate degree-progress summaries, prepares credit summaries for coursework taken at USC and other domestic institutions, and supplies technical information on VA education benefits, transfer credit, and degree completion. The role also updates the student-record system, generates documents or reports, and verifies student information as requested.
Responsibilities
- Conduct presentations, one-on-one meetings, telephone sessions, and email communications with veterans and dependents
- Keep the VA informed of enrollment status and tuition/fee charges in accordance with the U.S. Department of Veterans Affairs SCO Handbook, using forms such as:
- Enrollment Certification (VA Form 22-1999)
- Notice of Change in Student Status (VA Form 22-1999b)
- Monitor student subjects to certify only those applicable to the student’s program
- Track student grades to ensure satisfactory progress and report terminations due to unsatisfactory progress
- Monitor student conduct and report suspensions or dismissals
- Maintain up-to-date knowledge of current VA rules and benefits by:
- Reading and maintaining VA bulletins
- Attending VA training opportunities
- Maintain records of VA students for at least three years following the student’s last date of attendance, including:
- VA papers submitted
- Academic progress and program pursuit
- Tuition and fee charges
- Protect the privacy of VA students
- As a Yellow Ribbon School, certify in accordance with the school’s Yellow Ribbon agreement and maintain records of:
- Number of students enrolled under Yellow Ribbon
- Annual amount of tuition and fees
- First-come, first-served enrollment into the Yellow Ribbon Program
- Respond to inquiries from the VA, students, and staff regarding procedures in areas such as:
- Registration and course scheduling
- Degree checks and transcripts
- Diplomas and academic status
- Petitions, VA education benefits, and financial aid
- Maintain a thorough working knowledge of:
- VA policies and procedures
- University curricula, practices, and policies
- Transferability of coursework from domestic institutions
- Counsel students on transfer credit evaluations and degree requirements, providing alternatives, solutions, or referrals to appropriate VA or university units
- Prepare backup material and documentation for student petitions as needed
Requirements
- Bachelor’s degree
- Less than one year of relevant experience
- Preferred skills: experience in student services

Pay
The hourly range for this position is $24.00 – $26.33.
