About the role

The Office of the University Registrar (OUR) within the Office of Enrollment Management supports the academic integrity of The City University of New York (CUNY) by administering student records, enrollment-related technologies, and university-wide academic processes. Based within the Central Office, OUR partners with CUNY’s 26 campuses to enhance student success, streamline academic operations, and uphold institutional policies.

Responsibilities

  • Applies subject matter expertise in student records and enrollment operations to support university-wide processes.

  • Serves as a primary point of contact between the University Registrar and campus registrars.

  • Maintains key academic and policy documentation, including drafting, implementing, and monitoring for accuracy and consistency.

  • Administers daily operations involving Coursedog, CUNYfirst Campus Solutions, Schedule Builder, Degree Works, National Student Clearinghouse, and related platforms; participates in system enhancements, launches, and support activities.

  • Supervises and mentors Student Records Coordinators and assigned OUR staff, providing clear direction, guidance, and ongoing support to ensure effective operations and team development.

  • Facilitates university-wide processes such as transcript automation, Excelsior Scholarship verification, and National Student Clearinghouse reporting.

  • Processes and verifies course and curriculum updates through CUR, ensuring accuracy and compliance with institutional requirements.

  • Develops, runs, and distributes reports from the Student Records module in CUNYfirst; assists with reconciliation and dissemination of university-wide student data.

  • Contributes to the development, documentation, and application of OUR policies and procedures.

  • Investigates and resolves system-related issues; delivers training and provides technical guidance on CUNYfirst and Coursedog to campus users.

  • Represents OUR in internal and external meetings, as needed.

  • Performs other related duties as required.

Qualifications

  • Minimum: Bachelor's degree and four years' related experience required.

  • Preferred: Master’s degree in higher education administration or in a related discipline.

  • Four years’ experience working with student records operations, college registration, academic credential evaluation, and/or computerized registration systems.

  • Demonstrated experience supervising and mentoring staff, with the ability to support team performance and development.

  • Detail-oriented with knowledge of registration-related technical platforms.

  • Proficiency in national standards for academic records, policy, and procedures, with familiarity of issues typically associated with curriculum, governance, transfer requirements, and transcripts.

  • Experience with PeopleSoft Campus Solutions frameworks and databases, PeopleSoft Query, SQL, and ERP/CRM solutions as related.

  • Strong research, evaluative, and analytical and time/project management skills.

  • Commitment to excellence in customer service, with exceptional communication skills and proven ability to collaborate with stakeholders at all levels.
