Medical University of South Carolina (MUSC) – College of Medicine Dean's Office is seeking an Administrative (Human Resources) Coordinator to support the operations of the Human Resources Center of Expertise (CoE-HR). This role provides professional administrative support to assigned departments within the College of Medicine and serves as a liaison between COM departments and University Human Resources Management, Medical University of South Carolina Physicians (MUSCP) Human Resources, the Center for Global Health, Medical University Hospital Authority (MUHA) Human Resources, and other internal and external stakeholders.

Responsibilities

  • Assist with drafting and creating position descriptions for faculty, staff, and other employee types, ensuring necessary approvals from the department and/or Dean's Office before submission.
  • Provide recruitment assistance, including posting on external sites, arranging and participating in candidate interviews, and ensuring new hire processes are completed.
  • Facilitate non-recruited hires by managing appropriate paperwork, verifying salary appropriateness, and obtaining necessary approvals.
  • Work directly with University HR Management, MUSCP HR, and MUHA HR to complete hires and manage personnel actions such as new hires, dual employment requests, bonuses, assignment changes, salary and fund changes, promotions, and terminations in the Our Day system.
  • Assist departments with reviewing, revising, and rewriting position descriptions to reflect added duties, breakdown of responsibilities, and expectations.
  • Collaborate with departmental contacts to draft letters of justification for personnel actions and create and maintain current organizational charts.
  • Coordinate onboarding for non-paid opportunities, including administering paperwork, obtaining approvals, and scheduling health screenings and administrative sign-ups.
  • Perform logistical and administrative tasks for the College of Medicine Human Resources Center of Expertise, ensuring accurate and timely service delivery.
  • Partner with other administrative staff to provide seamless HR services to client departments, including processing new hires, promotions, reclassifications, and compliance training.
  • Plan, coordinate, and attend meetings, and participate on committees as directed.
  • Serve as a liaison on departmental HR issues, promoting transparent communication between departments, CoE-HR, and other MUSC/MUSCP/MUHA constituencies.
  • Coordinate all aspects of faculty appointments, including preparing paperwork, drafting offer letters, tracking onboarding tasks, scheduling compliance training, and setting up profiles.
  • Serve as the primary point of contact for credentialing, University HR, MUSCP HR, Managed Care, and the Credentialing Program Manager.
  • Facilitate the Faculty Promotion and Tenure process, including preparing promotion packets, requesting recommendation letters, and revising CVs in the Interfolio system.
  • Conduct daily data entry into multiple databases to maintain electronic filing systems for all personnel-related matters.
  • Assist departments with annual reviews, including probationary, catch-up, on-cycle reviews, MyQuest, Employee Satisfaction, and Conflict of Interest.
  • Manage timekeeping for the Dean, Dean's direct reports, and other University personnel in the COM Dean's Office, including running reports and maintaining electronic files.

Requirements

  • A high school diploma and four years of relevant experience in business management, public administration, or administrative services; or a bachelor's degree and two years of relevant experience.

Skills

  • Professional administrative support and liaison skills between multiple HR entities.
  • Experience with personnel systems, including hiring, termination, and employee relations.
  • Knowledge of position/employee action requests, posting and hiring processes, faculty appointments, promotion and tenure, credentialing, compliance training, and visa coordination.
  • Proficiency in data entry and maintaining electronic filing systems.
  • Ability to manage multiple tasks, coordinate meetings, and participate in committees.
  • Strong communication and organizational skills.

Pay

Hourly pay range: $39,300.00 - $53,100.00 - $66,800.00 annually.

Schedule

  • Scheduled weekly hours: 40
  • Work shift: Daytime

Physical Requirements

  • Ability to perform job functions in an upright, seated, or walking/mobile position (Frequent).
  • Ability to work indoors continuously and outdoors infrequently in varying weather conditions.
  • Ability to work in confined/cramped spaces, kneel, bend at the waist, squat, and perform pinching operations (Infrequent).
  • Full use of both hands/arms, good finger dexterity, and tactile sensory functions (Continuous).

  • Ability to hear and understand whispered conversations at a distance of 3 feet (Continuous).
  • Ability to lift and carry up to 15 lbs., unassisted (Infrequent).
  • Ability to work in dusty areas (Infrequent).
