About the role
Under general supervision, the Unit Secretary manages communications, record keeping, and administrative functions within a patient care unit, including oversight of medication access and transport.
Responsibilities
- Delivering customer-focused reception and information services to patients, visitors, and healthcare providers
- Ensuring the accuracy, confidentiality, and completeness of patient records
- Utilizing automated systems to efficiently manage clinical information
- Coordinating patient appointments, transportation, and the distribution of supplies and materials
- Providing clerical support as required
- Supporting electronic medical record management
- Maintaining the order and appearance of public areas
- Collaborating with support services to resolve housekeeping or maintenance concerns
- Upholding a professional demeanor and demonstrating effective communication skills
- Promoting patient safety by identifying and mitigating risks, reporting adverse events and near misses, and actively participating in safety programs within the hospital or unit
Requirements
- High school diploma or GED
- Minimum of six months of general office experience, preferably within a patient care or service environment
- Proficiency in clerical tasks such as filing, photocopying, and basic keyboarding
- Capability to utilize computer systems for managing patient data
- Excellent communication and interpersonal skills
- Professional phone etiquette
- Strong organizational abilities, including task prioritization, multitasking, and maintaining performance under pressure
