About the role
The Unit Secretaries at Children’s Specialized Hospital play a crucial role in supporting the daily operations of the unit and ensuring that patients, families, providers, and staff remain connected and informed. They provide clerical and administrative support, answer phone calls, manage communications, coordinate schedules, and assist with various administrative tasks.
Responsibilities
- Provide clerical and administrative support, including correspondence, reports, meeting materials, and maintaining files
- Answer telephone calls, screen calls, take messages, and respond to routine inquiries
- Manage incoming and outgoing mail and communications
- Coincide inpatient and ambulatory scheduling with outside referring facilities
- Support monthly partner meetings, including preparing PowerPoint presentations and sharing annual wellness visit data
- Track data in Epic and assist with reports, patient outreach, and follow-up activities
- Support practice managers with action items, expectations, workflow changes, and operational needs
- Provide Epic training to staff as needed and serve as a liaison between the Medical Group and primary care practices
- Maintain office systems, supplies, and equipment while following departmental and hospital policies and procedures
- Handle sensitive and confidential information with discretion
Requirements
- A High School Diploma or General Education Degree (GED)
- Proficiency with word processing software
- Strong typing, organizational, and communication skills
- An attention to accuracy
- The ability to work independently and take initiative to complete assignments
- Strong computer skills and comfort learning new systems and technology
- To take pride in accuracy, organization, and timely follow-through
- To handle confidential information with professionalism, tact, and courtesy
Qualifications
- 1-3 years of general clerical experience is preferred
- Hospital experience and knowledge of medical terminology
