Role and Responsibilities
With minimal supervision required, the Underwriting Executive Administrator provides administrative support to the Vice President, Underwriting and New Business Administration and supports the Directors in the Underwriting, New Business, and Document Management departments. Your Responsibilities Will Include:
- Oversee the departmental employee engagement program for the departments reporting to the Vice President to drive employee engagement by coordinating lunches, social events, etc., and providing an end-of-year retrospective outlining engagement effort throughout the year.
- Provide any needed administrative assistance to the Vice President daily, including scheduling meetings and maintaining the calendar, preparing expense reports, and scheduling and confirming travel and hotel reservations.
- Aid agents and sales leadership in troubleshooting OFT (Oral Fluid) and Home Office Specimen ordering.
- Aid agents, managers, business contacts, or home office personnel with questions and take messages.
- Prepare and mail letters to clients regarding confidential medical information from the Medical Director.
- Distribute MIB information requests as needed, and report confidential medical information (for example, positive HIV results) to state health department personnel in conjunction with the Medical Director.
- Maintain paper files on all reports for backup.
- Schedule and keep the Vice President, Underwriting/New Business informed of all upcoming meetings.
- Assist in preparing and maintaining reports for Senior Management.
- Screen all inter-office and outside mail daily. Screen electronic mail if the Vice President is out of the office.
- Record minutes at meetings.
- Update Underwriting and New Business contacts for Agent’s Website.
- Type correspondence and create PowerPoint presentations for the Vice President, Underwriting/New Business. Proofread all correspondence.
- This correspondence may, and generally does, contain confidential information.
- Work with Strategic Services to store and maintain vendor contracts associated with the Underwriting/New Business departments.
Qualifications
- Achieve at least three years’ experience or five years secretarial/administrative experience in a professional field (or a 5-year combination of college and experience).
- Have a minimum associate’s degree and/or technical training in a professional field.
- Be proficient in Microsoft Office products (Word, Excel, PowerPoint, etc.).
- Have good typing skills (40 wpm).
- Have knowledge of SFBLI systems, preferred.
- Have good oral and written communication skills.
- Have good organizational skills.
