About the role

The Federal Reserve Bank of Kansas City is seeking an Administrative Assistant to join the Treasury Services Division. This role provides administrative support to division executives and staff, including calendar management, travel arrangements, meeting coordination, document preparation, and project completion.

Responsibilities

  • Maintains and/or monitors electronic calendars, deadlines, and appointments for Officers.
  • Purchases and manages inventory of supplies.
  • Manages purchasing card expenditures and timely reconciliations.
  • Makes travel arrangements for Officers, including hotel accommodations, car rentals, airline reservations, and paperwork for reimbursement.
  • Serves as primary coordinator for meetings, including conference room reservations, dining requests, guest access, and meeting assistance.
  • Organizes and maintains files of department correspondence and documents, adhering to record retention guidelines.
  • Prepares and proofreads letters, memos, presentations, and reports, ensuring proper grammar, spelling, punctuation, and formatting.
  • Develops basic reports and completes projects of average to moderate complexity and priority.
  • Updates and/or maintains information sharing websites and other communication mediums.
  • Provides back-up support for other administrative assistants and trains less experienced staff on administrative responsibilities.
  • Completes unique, department-specific duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Proficient computer skills including Outlook, Microsoft Word, Excel, PowerPoint, Teams, various internet applications, and email applications.
  • High standards of confidentiality due to possible access to sensitive information.
  • Willingness to perform additional responsibilities unique to the areas the position supports.
  • Strong interpersonal skills including the ability to interact with high-profile public contacts and/or external customers.
  • Excellent verbal and written communication skills.
  • Excellent customer service and organizational skills.
  • Excellent attention to detail, time management skills, and multi-tasking ability.

Qualifications

  • Typically does not require any previous experience.
  • Three to five years of administrative assistant experience preferred.
  • Basic project management skills and analytical skills preferred.
