Traveling New Patient Coordinator

About the Role

This pivotal role involves traveling between our Dunn (3 times a week) and Durham Miami (2 times a week) locations, following the Orthodontist to assist with new patient consultations. You’ll be the friendly, knowledgeable first point of contact for new Orthodontic patients, ensuring a smooth and professional experience across both office locations.

Responsibilities

  • Conduct new patient consultations including:
    • Office tours
    • Treatment and financial overview
    • Taking initial records (photos, X-rays, etc.)
    • Scheduling bonding and recall appointments
    • Sending patient and doctor correspondence
  • Prepare and present bonding contracts:
    • Set up contracts prior to bonding appointments
    • Review financial agreements and collect payments
    • Post payments, submit insurance claims, and set up auto-drafts
  • Maintain and manage patient reports and appointment confirmations
  • Schedule ongoing maintenance and follow-up appointments
  • Monitor and respond to office emails
  • Support other administrative and clinical tasks as needed

Requirements

  • High School Diploma or GED (required)
  • 1–2 years of dental experience (required)
  • Orthodontic experience (preferred)
  • NC X-Ray Certification (required)
  • Ability to lift up to 15–20 lbs
  • Reliable transportation and willingness to travel between Dunn and Durham
