About the role

The Travel Coordinator manages end-to-end travel and logistics for television production and publicity campaigns, ensuring seamless movement of talent, crew, and executives. This includes high-touch VIP air travel, large-scale hotel blocks, and strategic vendor negotiations.

Responsibilities

  • Book and manage complex air travel, with a focus on domestic and international First/Business Class, including frequent exchanges, schedule changes, and VIP services such as airport meet-and-greets.
  • Source, negotiate, and secure hotel room blocks for production and crew stays, managing contract concessions and prepaying stays using virtual payment tools (e.g., Conferma).
  • Partner with Heads of Production and Publicity Directors to align travel strategy with production schedules, press timelines, and tax-incentivized filming locations.
  • Coordinate closely with Talent Relations for high-profile activations, including premieres, upfronts, and special events.
  • Arrange ground logistics for individual talent and large-scale crew movements across various markets.
  • Maintain and leverage relationships with key hotel partners, airlines, and transportation providers to ensure premium service levels.
  • Utilize GDS (Sabre Red 360), Online Booking Tools (Deem), and project management software (Smartsheet) to execute and track all travel activities.
  • Manage and track travel spend across productions, including detailed reporting, reconciliation, and budget awareness.
  • Oversee account setup for each production, ensuring all bookings, payments, and account access align with internal approval workflows.
  • Support internal data management processes to track usage and overall spend across multiple simultaneous projects.

Requirements

  • 5+ years of Entertainment/Production travel experience in a high-volume environment.
  • Strong SABRE GDS skills, as well as proficiency in Word, Excel, and Outlook.
  • Proven communication and customer service skills in a fast-paced environment.

Nice to have

  • Experience with group travel.

Pay

The pay range for this role is $25.75–32.22 per hour for high-cost labor markets such as New York City and Los Angeles, and $21.25–26.75 per hour for all other U.S. locations. Final offer amount depends on education, skills, experience, and location.
