Transportation Coordinator
About the Role
The Transportation Coordinator works directly with clients and various shipping entities to ensure equipment is allocated and that shipments are scheduled, tracked, and delivered to the customer's satisfaction. This position requires independent judgment and decision-making regarding custom shipping arrangements, which are key to the company's success.
Responsibilities
- Ensure inventory in various warehouses is correct and available to allocate.
- Schedule pick-up or delivery with appropriate carriers, providing concise instructions on location and required date/time.
- Manage account and client relationships.
- Manage costs within client transactions.
- Enter instructions into the system and ensure paperwork is received by the proper individual to track shipment progress.
- Procure inventory to fulfill orders.
- Communicate with shipping agents to answer questions, ensure proper handling and packing of inventory, and confirm shipping instructions.
- Conduct site inspections/preparation (usually via phone).
- Negotiate rates with carriers and agents within specified guidelines.
- Resolve issues such as damaged or lost items and delayed shipments, using good logistics judgment to avoid such issues.
- Verify documents prior to processing for payment to ensure correct pricing.
- Follow up with all involved parties until the project is completed.
- Accountability for each assigned project.
- Properly prepare client House Waybills for rating.
- Other duties as assigned by management.
Requirements
- Ability to acquire TSA certification (required).
- Strong organizational skills.
- Detail-oriented.
- Ability to multi-task.
Qualifications
- BS degree in a related field.
- 2 years of experience in an office environment with an emphasis on customer service and support.
- An equivalent combination of education and experience may be considered.
- Excellent oral and written communication skills.
- Proficient in MS Office, particularly Word, Excel, Outlook, and PowerPoint.
Physical Demands
- Sitting for 6+ hours per workday.
- Standing for up to 2 hours per workday.
- Ability to squat, bend, and reach for filing purposes.
Work Environment
- Office environment.
- Occasional travel required.
