About the role

The Transport Coordinator will lead a team of executive chauffeurs and colleagues to ensure efficient, safe, and productive operations. This position involves daily transportation reporting, implementing business objectives, valet organization, bellperson communication, and maintaining department standards aligned with Forbes and LQA standards.

Responsibilities

  • Ensure the team is well-informed about daily events, rides, and hotel updates.
  • Audit reservations, process paperwork, complete charges, and resolve outstanding payments.
  • Complete reservations for same-day and future requests via email, website, or telephone.
  • Organize valet operations and manage daily postings.
  • Direct bellpersons and maintain daily schedules.
  • Maintain efficient email communication within the department and company.
  • Provide support to the transportation department and department manager as needed.
  • Report all reservation and colleague information to the department manager.
  • Use critical thinking to resolve conflicts in reservations.
  • Report incidents, accidents, or breakdowns immediately to People and Culture, Security, and the Manager on Duty.
  • Process relevant administration with outside parties in the event of an accident.
  • Ensure adherence to the hotel’s health, safety, and hygiene policies.
  • Enforce all hotel policies, including uniform standards.
  • Report equipment issues to the department manager promptly.
  • Maintain a work-friendly atmosphere and team environment.
  • Keep the vehicle staging area clean and professional.
  • Maintain high levels of communication and service for all guests and clients.
  • Anticipate and resolve guest issues proactively or in a timely manner.
  • Ensure daily accounting reports are accurate and submitted on time.
  • Assist with front office duties, including valet, luggage, and lobby support.
  • Maintain a front-of-house presence for guest arrivals and departures.
  • Greet guests entering and exiting the building and provide assistance when possible.
  • Identify areas for team and individual improvement and provide training and coaching.
  • Ensure all team members are trained in safety and loss prevention procedures.

Requirements

  • Excellent oral and written communication skills.
  • Strong guest service skills.
  • Knowledge of computer programs used in property management (e.g., Word, Info, Alice, Limo Anywhere).
  • Working knowledge of general business practices, including accounting, human resources, and customer service.
  • Experience in guest relations and customer service.
  • Knowledge of front and back-of-house operations.
  • Fluent and professional verbal and written communication.
  • Ability to work under pressure, multitask, and collaborate in a team environment.
  • Extreme attention to detail, strong organizational skills, and strategic thinking.

Schedule

  • Ability to work holidays, weekends, and 7 days a week.
  • Shift availability: 8-hour day shift (required).
  • Overtime may be required.
