About the role

The Transaction Manager is responsible for managing all aspects of the real estate transaction process - from list to close. This role ensures compliance, coordinates communication between all parties, tracks deadlines, and protects the client experience at every stage. This is a critical operations role designed to allow agents to focus on revenue-generating activities while maintaining elite service standards.

Responsibilities

  • Contract-to-Close Management
    • Review executed contracts for completeness and compliance
    • Open escrow and coordinate with title and lenders
    • Manage timelines, contingencies, and contractual deadlines
    • Track inspections, appraisal, HOA documents, and loan milestones
    • Ensure all required documents are properly signed and stored
  • Systems & Compliance
    • Maintain accurate transaction records in CRM and transaction management software
    • Ensure compliance with Arizona real estate regulations
    • Prepare closing files for broker review
    • Track and report transaction status to leadership
  • Process Improvement
    • Identify inefficiencies and recommend system improvements
    • Help maintain and refine standard operating procedures (SOPs)
    • Support scalability as the team grows

Qualifications

  • AZ Real Estate License
  • 2+ years of experience in real estate transaction coordination or related field
  • Strong understanding of AZ real estate contracts and timelines
  • Exceptional attention to detail and deadline management
  • Strong written and verbal communication skills
  • High proficiency in CRM systems and digital document platforms
