Essential Functions
- Lead to Contract duties:
- Aid originator in scheduling appointments with prospective and new applicants.
- Return new lead calls within 20 minutes and achieve a 35% conversion rate to appointments.
- Administer administrative tasks such as managing client databases (lead tracker, MyCircle, Zillow), sending online pre-qualification links, pulling and preparing web applications, updating credit reports, and AUS findings.
- Set and confirm appointments for the originator and manage the calendar.
- Send thank you cards to referral sources and new clients.
- Communicate with customers and referral sources, keeping them updated throughout the process, subject to Guild’s SAFE Act and Consumer Privacy/Safeguarding in Information policies.
- Run credit checks on loans assigned to an originator and request status updates from pre-approved clients and referral sources.
- Contact expired, pre-approved clients to gather necessary documentation for licensed teammates to update pre-approval documentation and/or letters.
- Coordinate, create, obtain compliance approval, track, and distribute advertising materials as needed.
- Manage monthly compliance-approved email marketing to realtors.
- Contract to Close duties:
- Monitor key dates related to loan transactions and respond accordingly.
- Submit loan forms, disclosures agreements, and other supporting documentation to customers for completion and signature; manage the collection of completed documents.
- Track and enter data for assigned originator's database.
- Maintain customer contact to ensure follow-up of loan application and answer basic customer inquiries, providing quality customer service, subject to Guild’s SAFE Act policy.
- Order 4506T, SSA, Credit Supplements, AccountCheck, and Work Number as needed.
- Prepare and submit loan applications to processing, helping to resolve any subsequent file issues and escalating processor conditions as required.
- Assist with administrative tasks through production and underwriting processes.
- Provide status updates to referral sources on active loans, subject to Guild’s policies on Consumer Privacy and Safeguarding of Information.
Additional Common Duties
- Collect supporting documentation from customers, gathering necessary documentation for pre-approval.
- Maintain referral source relationships through quick response time and excellent customer service.
- Stay up-to-date with company-approved programs and software systems; implement and execute new systems for team and clients.
- Answer customer inquiries related to active loans, or loan application status.
- May provide clerical and administrative support on an as-needed basis.
- Do not submit documents to underwriting; assist borrowers with the completion of their application or explanation of documents, loan programs, or qualification criteria and quote rates.
- Do not order written (non-third-party) employment, income, deposit, mortgage, or rental verifications under any circumstances.
- Do not act as a primary point of contact for the customer, nor keep the customer informed throughout the process.
- Do not assist originator with obtaining an accurate and thorough 1003.
- Do not analyze customer’s credit and financial scenario and determine appropriate loan products.
- Do not price loans in accordance with Guild’s policies and communicate fees to operations team.
- Do not quote rates and make commitments regarding locking to customers.
- Do not discuss product features with customers.
Qualifications
- High school diploma or equivalent preferred, with a minimum of one year total experience in mortgage lending or related field.
- No need for an active MLO license.
- Ability to manage multiple priorities; strong detail orientation and highly organized.
- Works with a strong sense of urgency and responsiveness.
- Passionate about delivering excellence in customer service.
- Demonstrated patience and professionalism when interacting with both internal and external customers.
- Proficiency with data entry, PDF software programs, Microsoft Word, and Excel required.
- Strong verbal and written communication skills.
- Ethical, with a commitment to company values.
Requirements
- Bilingual in Spanish is preferred.
Physical
- Work is primarily sedentary; mobility in an office setting.
- Frequent use of computer keyboard and mouse.
- Audio/Visual: Ability to accurately interpret sounds and associated meanings at a volume consistent with interpersonal conversation.
- Regularly required to accurately perceive, distinguish, and interpret information received visually and through audio; e.g., words, numbers, and other data broadcasted aloud/viewed on a screen, as well as print and other media.
- Environmental: Office environment – no substantial exposure to adverse environmental conditions.

Pay
Target Salary Range: $42,000.00/yr
Compensation at Guild is influenced by a wide array of factors including but not limited to local and federal minimum wage requirements, education, level of experience, and applicant’s geographical location.
