About the role

This role is the heart of the loan process, owning the file from pre-approval through closing. The successful candidate will support Loan Officers, coordinate with processors, and ensure that everything moves smoothly, accurately, and efficiently.

Responsibilities

  • Own the Loan File (Start to Finish)
  • Be the central hub of each transaction—supporting the Loan Officer, coordinating with the processor, and ensuring nothing falls through the cracks.
  • Pre-Approval & Setup
    • Collect and organize client documentation
    • Run income calculations and structure loan files
    • Prepare pre-approvals and client-ready scenarios
    • Support Loan Officers with clean, ready-to-present files
  • File Management (Contract to Close)
    • Set up and disclose loans in the system
    • Order appraisals and manage key milestones
    • Keep files moving forward and proactively resolve issues
    • Ensure all documentation is complete, accurate, and on time
  • Communication & Coordination
    • Act as the point person between Loan Officers, processors, clients, and partners
    • Align daily priorities and keep the team focused on what’s most urgent
    • Maintain constant visibility on file status and next steps
  • Problem Solving & Detail Management
    • Review documents thoroughly and catch issues early
    • Handle high-touch or complex files with confidence
    • Keep everything organized, compliant, and on track

Requirements

  • Strong time management and organization
  • Ability to prioritize constantly in a fast-moving environment
  • Comfort managing multiple files at different stages simultaneously
  • A proactive mindset—you don’t wait for problems, you solve them early
  • Clear, consistent communication with teammates and clients

Qualifications

  • Strong organizational skills and attention to detail
  • Comfortable working online and managing data across multiple systems
  • Proficiency with MS Office and data entry
  • Ability to work PST hours (8:00 AM – 5:00 PM) with some flexibility
  • Basic understanding of the mortgage process is a plus (not required—we’ll train the right person)
  • Reliable, resourceful, and willing to learn
