About the role

The Training & Education Program Administrator (TEPA) – Organ is responsible for designing, developing, and deploying clinical curricula in Organ Services to meet defined objectives, maximize performance, and deliver job-specific skills-based onboarding in accordance with regulatory requirements. This role measures and documents learners’ preparedness in practical and productive knowledge, skills, and abilities to execute defined processes and procedures, while providing coaching and guidance on accountability for position-specific competencies.

The TEPA collaborates with educational staff across functional areas to ensure efficiencies and mitigate redundancy in content design, development, and delivery. The role oversees certified Organ preceptors, including managing the application process for new preceptors, observing and coaching precepting practices, and providing continuing education as needed.

Responsibilities

  • Develop, deliver, and administer a comprehensive organ donation and transplantation training program in accordance with regulatory requirements.
  • Define educational requirements for job-specific onboarding, skills improvement, technical competency assessment, and validation of processes and procedures based on regulatory, partner, and customer expectations.
  • Independently or collaboratively design curricula and coursework using instructional systems designed for effective adult learning experiences, including:
    • Developing course documents, learning objectives, content, scenarios, practice activities, simulation experiences, and post-test assessments.
    • Utilizing the Learning Management System (LMS) as appropriate.
  • Design and deliver curricula for job-specific onboarding for clinical positions, including:
    • Donation Coordinator
    • Surgical Recovery Coordinator
    • Surgical Recovery Specialist
    • Preservation Specialist
    • Organ Utilization Coordinator
    • Organ Services Administrator
    • Donor Management
  • Incorporate adult learning principles when facilitating educational programs in person, virtually, or in conjunction with subject matter experts (SMEs) and outside vendors.
  • Utilize evaluation methodologies (e.g., Kirkpatrick’s Levels) to measure the impact of training.
  • Identify and teach preceptors to assist with on-the-job onboarding and provide feedback to new team members.
  • Document and monitor individual development plans, skills measurement, goals, and progress.
  • Schedule and conduct regular debriefing sessions with orientees to review and update development plans, objectives, and case experiences.
  • Provide written evaluations of orientee progress to determine readiness for independent practice.
  • Develop and maintain current educational records to meet documentation requirements.
  • Engage in observation, evaluation, on-the-job or simulation assessments to document proficiency in job skills, techniques, and core competencies.
  • Support team member performance management through documentation of growth opportunities, recognition, and real-time coaching and mentoring.
  • Maintain relationships and consult with vested parties and SMEs to ensure educational programming supports initiatives aimed at increasing organ donation and transplantation.
  • Develop and maintain working relationships with key SMEs when designing, developing, and delivering education.
  • Establish a process to manage, act on, and respond to educational requests.
  • Evaluate internal processes and propose recommendations or changes.
  • Consult with other functional areas when new educational requests arise.
  • Collaborate with TEPAs in other clinical areas to ensure consistency in design, development, delivery, and operations.
  • Remain apprised of industry advancements and changes, including participation in local and national professional associations.
  • Identify innovative techniques and areas for improvement in curriculum design.
  • Work closely with Organ Services Leadership to deploy annual Continuing Education.
  • Consult with Leadership to assess TEPA support, ascertain development opportunities, and align with functional initiatives.
  • Provide coaching and guidance on individual accountability for knowledge, skills, abilities, and behaviors to meet job expectations.
  • Convey leadership and support of team member performance through timely, effective, and respectful coaching and accountability.
  • Provide guidance and mentoring to encourage professional development and goal achievement.
  • Model and promote a culture of accountability and service.
  • Oversee operations and administration of all facets of curricula deployment.
  • Maintain skills and abilities to execute responsibilities for an organ donation case in accordance with Organ Services team job descriptions.
  • Teach and facilitate in-person and virtual classes, provide on-the-job training, and act as a preceptor when necessary.
  • Create and maintain standard operating procedures, policies, guidance documents, and work instructions in collaboration with other departments.
  • Manage scheduling, communications, document and version control for various curricula.
  • Coordinate virtual and in-person events, including scheduling venues, faculty, outside speakers, and technical requirements.
  • Maintain all curricula assets, including manuals, guides, checklists, websites, and portals.
  • Support quality and consistency through root cause analysis, follow-through, and documentation of non-conformance and compliance reports.
  • Participate in ensuring successful internal, customer, or regulatory audits.

Requirements

  • Combination of education and experience equivalent to 7 years in inpatient hospital and/or operating room settings.
  • Proven experience preparing and delivering training programs, demonstrating knowledge of adult learning theory, program design, and evaluation, including competency in multi-media presentation delivery and related technologies.
  • Experience creating simulation activities preferred.
  • Previous experience within the organ, eye, or tissue donation industry preferred.
  • Must obtain a relevant certification in the procurement/transplant field within two years of hire and maintain required continuing education or recertification credits.
  • Essential public speaking skills for facilitating in-person and remote forums, with the ability to translate observations or interviews into written training programs.
  • Formal and/or informal leadership capabilities, including strong written and verbal communication skills, motivation of peers, problem-solving, and discretionary decision-making.
  • Strong organizational, detail-oriented, critical thinking, and analytical skills.
  • Demonstrated ability to provide high-level customer service to internal and external customers, with proficiency in developing rapport quickly.
  • Self-directed, motivated contributor with strong initiative and ability to function autonomously while working effectively in a team environment.
  • Strong working knowledge of Microsoft Office applications.
  • High degree of quality, integrity, and ability to honor confidentiality of personal data, organizational operations, donor/family information, financial details, and protected health information (PHI) in accordance with HIPAA.
  • Skilled and competent in using technology-based devices and mobile tools, such as personal computers, electronic medical record systems, mobile phones, and mobile printing devices.

Schedule

  • Full-time, 1.0 FTE, exempt position.
  • Office hours; training hours align with trainee schedules.
  • Blended in-office and remote schedule, including weekdays, weekends, nights, and holidays as needed.
  • Ability to adjust schedule to accommodate organizational needs, including shift coverage.

Location

Based in Minneapolis. Hybrid work arrangement (blended on-site and remote) based on administrative and training responsibilities. Occasional travel within the service area (MN, ND, SD) by ground or air may be required.

Affected team members in Category I are regularly exposed to bloodborne pathogens and have potential for exposure or handle materials that could spread infection (one or more potential opportunities per month). Additionally, they have regular interaction with staff in patient or donor areas in a hospital or clinic setting.

Pay

Projected offer range: $81,000–$98,000 annually, based on relevant experience.
