About the Role
Performs routine (journey-level) accounting work for the Finance Department. Work involves maintaining, preparing, posting and balancing accounting and financial statements, records, documents or reports. Work involves preparing and posting purchase vouchers in an assigned appendix or accounting area. Cross trains in other accounting areas or appendices. Specializes in accounts payable, travel and financial reporting and in the knowledge of state and federal rules and regulations that apply to each. Reports to the Accounting Manager. Works under moderate supervision with limited latitude for use of initiative and independent judgment.
Work Hours: Monday - Friday, 8-hour days, 40 hours/week
Responsibilities
- Prepare periodic analyses of fund balances and expenditures; and prepare technical reports on estimates, cost data, and budget items.
- Audit financial documents and ensure compliance with statutes.
- Review agency accounting records, such as expenditure, fund, appropriation, expense and revenue collection records; and ensure that agency assets are accounted for properly.
- Conduct annual inventory of equipment and property.
- Classify, code, post and balance financial accounting documents and records. Perform routine level accounting duties and data entry with accuracy.
- Compute, analyze, prepare and process purchase or travel vouchers and encumbrances, utilizing the accounts payable system and maintains related documentation.
- Prepare, process and validate journal vouchers, accounting documents and transactions and initiates corrective action where necessary.
- Verify, audit and perform reconciliation of payment vouchers between reports, vouchers and warrants or direct deposits.
- Reconcile accounts, bank statements, credit card statements or appropriation balances.
- Research, analyze and coordinate payment discrepancies.
- Track invoices to ensure payments are made in a timely manner.
- Recommend improvements, adaptations or revisions to the accounting system and accompanying procedures.
- Attend work regularly and observe approved work hours in accordance with agency state employee policies and procedures handbook.
- May be required to perform duty in support of national emergencies, disasters and other missions, to include holidays and weekends.
- May occasionally work evenings, weekends or holidays.
- Perform related work as assigned.
Requirements
- Graduation from an accredited four-year college or university is required (substitutions allowed).
- Two (2) years of experience in accounting and financial operations required.
- Experience using Microsoft applications to include Microsoft Word, Excel and Outlook is required.
Qualifications
- Preferred Education: Graduation from an accredited four-year college or university with major coursework in business, accounting, finance, or related field.
- Substitution: Full-time experience in accounting, finance or bookkeeping can be substituted for required education on a year-per-year basis for up to four years.
- Preferred Experience: Four or more years of full-time experience in accounting, finance or bookkeeping.
