Summary/Objective
The Dispatch & Recruiting Coordinator supports field operations by coordinating manpower across active projects while driving recruiting efforts to meet workforce demands. This role is critical in a fast-paced, high growth environment and requires balancing real-time dispatching with proactive recruiting and onboarding.
Essential Functions
Coordinate daily dispatch of field personnel across multiple projects and locations
Partner with Operations to forecast manpower needs
Track workforce availability and proactively identify staffing gaps
Maintain accurate records within dispatch systems and databases
Communicate closely with field leadership to support execution and resolve staffing issues in real time
Actively source, screen, and coordinate hiring of field personnel to meet project demands
Develop and maintain pipelines of qualified candidates (active and passive)
Post job openings across appropriate platforms and industry networks
Build relationships with candidates to support ongoing workforce needs
Conduct initial candidate outreach, screening, and coordination with hiring managers
Partner with Recruiting/Hiring team to improve speed and quality of hires
Care for administrative and process support duties
Maintain organized documentation and reporting related to dispatch and recruiting activities
Support continuous improvement of dispatching and recruiting workflows
Supervisory Responsibility
This position will have no supervisory responsibilities.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment. May be required to operate in a petrochemical/refinery environment with exposure to cold working conditions during winter months and hot working conditions during the summer months; exposure to noise, workers must wear protecting hearing equipment or frequently shout in order to be heard above ambient noise level. In an emergency situation, exposure to hazardous chemicals may occur and the use of a respirator is required. May be required to be fit tested for the various respirators used as well as the ability to successfully pass a pulmonary function test (PFT).

While performing the duties of the job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 20 pounds.
Position Type/ Expected Hours of Work
This is a full-time position. Typical days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.
Travel
Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.

Required Education And Experience
A high school diploma or equivalent
1+ years of experience in dispatching, recruiting, or workforce coordination
Strong organizational, communication, and multitasking skills
Ability to perform under pressure and adapt to changing priorities
Preferred Education And Experience
Experience in electrical & instrumentation, construction, or industrial services
Familiarity with DISA or similar workforce compliance programs
Experience supporting project-based or turnaround environments
