Job Description
We are seeking a reliable and detail-oriented Test Proctor & Administrative Support Specialist to support daily testing operations and administrative activities across multiple training locations. This role is responsible for maintaining a secure and professional testing environment while also providing data entry, record management, and general office support.
Primary Responsibilities – Test Proctoring
- Greet and check in employees for scheduled testing sessions.
- Verify employee identity and testing eligibility.
- Assign and manage tests through the Learning Management System (LMS).
- Explain testing procedures, policies, and rules to employees.
- Maintain a quiet, secure, and distraction-free testing environment.
- Prevent unauthorized materials or cheating during testing sessions.
- Troubleshoot minor technical or login issues during testing.
- Report testing irregularities or policy violations to supervisors.
- Serve as the primary point of contact at the testing site.
Secondary Responsibilities – Administrative Support
- Perform accurate data entry and maintain digital records.
- Input information from paper documents into spreadsheets and databases.
- Auxiliary with special projects requiring high-volume data entry.
- Organize, archive, and retrieve records and files as needed.
- Operate office equipment such as scanners, printers, and copiers.
- Support departments with administrative and reporting tasks.
- Evaluate workflow processes and assist in improving office efficiency.
- Handle file and data requests in a timely manner.
- Work independently while managing multiple responsibilities.
Required Qualifications
- Previous experience in administrative support, data entry, office coordination, or test proctoring preferred.
- Strong computer and Microsoft Excel skills.
- Excellent organizational and time management abilities.
- Strong communication and customer service skills.
- Ability to work independently with minimal supervision.
- High attention to detail and accuracy.
- Ability to maintain confidentiality and professionalism.
- Basic troubleshooting and technical support skills.
Work Environment & Schedule
- Primarily daytime shifts with occasional overnight coverage.
- Overnight schedules may include split shifts or adjusted daytime hours.
- Rotational scheduling may be required based on operational needs.
- Contractors may work across multiple training and testing locations.
Work Locations
- Primary Location: North Quincy Computer Lab, Quincy, MA
- Additional Locations (as needed): South Boston Training Facility, South Station Training School, Charlestown Training Facility, Auburndale Training Facility
Preferred Skills
- Experience working in a paperless office environment.
- Strong data management and recordkeeping abilities.
- Ability to adapt to changing priorities and operational needs.
- Experience supporting training, education, or testing environments is a plus.
