Temporary Professional Office Assistant, College of Health and Human Sciences
This position is a member of the College of Health and Human Sciences (CHHS) Dean’s and Advising Office teams, working collaboratively with the Dean’s Executive Assistant, Retention & Recruitment Coordinator, Manager of Student Support Services, and student employees. The role provides front-line, service-oriented support at the Dean’s and Advising Office front desks and includes training and onboarding new student employees. This is a temporary, 8-week position primarily based in-person, with occasional remote work approved for specific projects. Office hours are 8:00 AM to 5:00 PM, and the role includes opening or closing responsibilities.
Responsibilities
General duties and responsibilities across both offices include:
- Act as a lead to student employees during the transition period
- Provide training and onboarding to newly hired student employees
- Greet visitors, direct them to the proper space, take messages, or respond to inquiries
- Answer phones, check voice messages, and respond or direct accordingly
- Provide exceptional administrative support on projects for the Dean, Dean’s Office personnel, and Advising Office personnel
- Be knowledgeable about college departments, majors, and offerings to provide introductory information
- Share ideas and help implement student-oriented events and activities
- Collaborate with student employees to create and maintain systems for shared communication
- Adhere to FERPA law and regulations
- Run errands on campus as needed
Tasks specific to the Dean’s Office include:
- Open and close the office daily, including preparing the breakroom, light cleaning, and creating a welcoming environment
- Fill copy machine with paper, maintain office supply inventory, and assist in keeping the office stocked and organized
- Provide IT support for the conference room and office suites as needed
- Monitor the main inbox for the Dean’s Office
- Support staff with website updates and events
- Assist in setting up meetings and events
- Check and distribute mail
Tasks specific to the Advising Office include:
- Schedule student appointments for staff and faculty advisors using Navigate
- Direct students to general campus resources in person, via email, and via phone
- Monitor and correspond with students via the chhsadvising email
- Transfer phone appointments to staff advisors
- Regularly use Microsoft Teams to receive updates and support advising staff
- Assist students in finding class schedules, assigned advisors, or other relevant information
Requirements
- Previous experience as a CHHS Student Office Assistant
- Strong interpersonal skills with the ability to provide courteous and professional customer service
- Strong written and verbal communication skills
- Able to work independently and in a team environment
- Experience using Microsoft Office (Teams, Outlook, Word, Excel, PowerPoint)
- Experience using Navigate360
- Knowledge of FERPA
Pay
Starting pay rate: $19.29 to $22.00 per hour, depending on skills and experience.
Schedule
Scheduled weekly hours: 32. Office hours are 8:00 AM to 5:00 PM, with regular opening or closing responsibilities.
