About the Role
The ideal candidate is highly accurate, detail-oriented, and comfortable working with numbers, reports, reconciliations, and structured processes. Strong Excel skills are important, and candidates with accounting, finance, banking, bookkeeping, or similarly detail-intensive administrative experience are strongly encouraged to apply. The selected candidate must be dependable, organized, and able to consistently maintain accurate records while handling confidential information in a regulated environment.
Responsibilities
- Review applications and supporting documentation for completeness, accuracy, and consistency prior to processing.
- Enter, update, and maintain applicant and credential information with a high level of accuracy.
- Reconcile information between applications, supporting documents, system records, receipts, and tracking reports.
- Identify discrepancies or missing information and resolve or escalate issues before completing transactions.
- Maintain accurate electronic and physical records in accordance with established procedures.
- Process and record payment transactions and assist with balancing receipts against system totals.
- Assist with weekly and monthly financial reports, reconciliation documentation, refunds, adjustments, and supporting records.
- Maintain Excel-based trackers, reports, lists, and administrative tools used to monitor workflow and outstanding items.
- Produce routine reports related to pending applications, terminations, exceptions, payments, and other activity.
- Provide professional front-counter service to applicants while following established policies and procedures.
- Assist with appointment scheduling, document collection, and routine applicant questions.
- Maintain accurate documentation and audit trails for completed transactions and actions.
- Follow established procedures for credential issuance, renewals, terminations, and related administrative processes.
- Assist with audit preparation, records review, compliance tracking, and other administrative projects as assigned.
Qualifications
- Exceptional attention to detail and a demonstrated ability to produce accurate work.
- Strong numerical aptitude and ability to reconcile data, transactions, and documentation.
- Strong Microsoft Excel skills, including sorting, filtering, formulas, lookups, data validation, and organizing large sets of information.
- Ability to identify discrepancies and independently verify information before completing a task.
- Experience maintaining reports, spreadsheets, databases, or financial records.
- Strong organizational and time-management skills with the ability to manage multiple deadlines and recurring reporting requirements.
- Ability to consistently follow detailed procedures, checklists, and established processes.
- Demonstrated discretion when handling confidential and personally identifiable information.
- Professional written and verbal communication skills.
- Reliable, accountable, and comfortable working in a highly structured environment.

- Candidates with experience in one or more of the following areas are especially encouraged to apply:
- Accounting, finance, bookkeeping, accounts payable, accounts receivable, or financial administration.
- Banking, teller, loan processing, or other transaction-based financial roles.
- Administrative support positions involving substantial Excel reporting and data reconciliation.
- Data entry, records management, document control, or audit support.
- Payroll, billing, invoicing, or payment processing.
- Hr onboarding, credentialing, licensing, permitting, or other roles involving verification of documentation.
- Experience in regulated, compliance-driven, government, public safety, or secure environments.
