Our client is looking for a Technical Assistant to handle the administrative tasks within the IT department. This role allows leadership to focus on driving the strategic vision forward while ensuring critical day-to-day tasks are completed accurately and on time. The Technical Assistant will work heavily within IT tools and platforms but will not perform development work.

About the Role

This position provides comprehensive administrative support to the IT team while assisting with the coordination of technology services across the organization. Responsibilities include maintaining IT documentation, tracking hardware and software inventories, supporting procurement and licensing, coordinating service requests, and assisting with onboarding and offboarding processes. Success in this role requires strong organizational skills, effective communication, proficiency with office productivity software, and the ability to work collaboratively in a small but high-demand technology environment.

Responsibilities

  • Helpdesk Triaging: Assess incoming IT support requests, log tickets, and route complex networking or hardware issues to L2 support. Troubleshoot basic technical issues and provide timely support to end users. Assist with the installation and configuration of computer hardware, software, and peripherals. Handle IT departmental notifications for outages, maintenance, or general information.
  • Onboarding/Offboarding/Transferring: Manage system access permissions for new, transferring, and departing employees. Order supplies for new employees and retrieve equipment from departing employees.
  • Technical Administration:
    • Manage the IT Team SharePoint site, including organizing files, removing duplicates, and granting/revoking access.
    • Monitor access levels of IT systems, processes, and networks.
    • Run sophisticated reports, maintain complex worksheets, use formulas, create pivot tables and charts in Excel.
    • Present advanced data presentations using PowerPoint and Excel.
    • Assist with the planning and implementation of IT projects.
    • Maintain all technology products and services managed by the IT department, such as Office 365, SharePoint, DocuSign, Outlook, Zoom, Okta, Workday, Asana, KnowBe4, PrinterCloud, Keeper, Jira, Confluence, etc.
  • Inventory Management: Maintain an up-to-date database of IT assets, including software licenses, hardware, and accessories.
  • Procurement: Purchase IT supplies, track deliveries, and serve as liaison to the finance team. Facilitate IT purchases, tracking all logistical aspects from initial ordering to completed delivery. Track annual hardware and software budget renewals and expenses.
  • Project Coordination: Coordinate project activities, schedules, resources, and communications to ensure projects are completed on time, within scope, and aligned with organizational objectives. Track progress, manage documentation, and support stakeholders by facilitating collaboration and resolving project-related issues.
  • Expense & Contract Tracking: Manage the department budget, track and route software renewals, process vendor invoices on time, and review financial expense reports with management.
  • General Clerical: Schedule department meetings and retreats, book conference rooms, and take minutes during IT-focused meetings. Distribute incoming mail and assist staff with administrative duties as requested. Maintain calendars for IT Managers, schedule conference rooms, and coordinate AV meetings as needed.
  • Training: Assist with deskside and formal training. Write instructional and training documents, job aids, and update the IT SharePoint site with relevant information.
  • Travel: Coordinate and manage IT travel arrangements, providing detailed itineraries.

Skills

  • Technical Proficiency: Proficiency with the Microsoft 365 suite, including 365 Admin, Excel, Word, PowerPoint, Visio, SharePoint, and Access. Understanding of DocuSign and basic application configuration skills. Baseline knowledge of computer hardware and network configurations. General understanding of AI, prompt engineering, and chatbot configuration.
  • Technical Acumen: Ability to understand end-user perspectives (technical and non-technical). Ability to learn and adapt to new technologies.
  • Soft Skills: Strong customer service, exceptional organizational skills, and the ability to maintain confidentiality regarding sensitive information and data. Decision-making skills to work autonomously and manage specific tasks. Communication and collaboration skills to support all staff members. Serves as an ambassador for the department and managers to IT guests, vendors, grantees, and partners. Ability to work independently and as part of a team. Excellent customer service, organizational, communication, and problem-solving skills. Demonstrated dedication to the Foundation's vision and values in daily interactions. Demonstrated ability to work in a team-oriented environment. An analytical mindset to identify and solve complex technological challenges.

Qualifications

The right candidate does not need hands-on experience with all technologies in the environment but must understand that learning how to work in these technologies is a non-negotiable part of the job. Candidates should have strong technical aptitude and a proven history of learning new technologies in previous roles.

Schedule

This is a hybrid position based in Troy, MI. The role is a contract position with an anticipated close date of August 21, 2026.

Pay

The pay range for this position is $25.00 - $35.00 per hour. Individual compensation within this range will depend on factors such as qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
