Responsibilities

  • Coordinate fiduciary tax preparation activities by compiling, validating, and distributing required account information to external tax preparers.
  • Maintain tracking and oversight of fiduciary tax return data, including filing status, due dates, payments, refunds, and estimated tax requirements.
  • Interface with external tax vendors to address questions, clarify account activity, and resolve tax reporting issues.
  • Absorb and distribute electronic tax payments and process tax refunds.
  • Review Internal Revenue Service (IRS) notices, research issues, and determine appropriate resolution actions in coordination with internal partners.
  • Compile and analyze partnership-related data required for accurate fiduciary tax reporting.

Tax Classification & Account Lifecycle Support

  • Review governing documents and account agreements to determine appropriate tax classifications and reporting requirements for new accounts.
  • Ensure accurate setup of tax classifications and reporting attributes within trust accounting and related systems.
  • Analyze tax reporting requirements following life events, such as the death of a grantor or beneficiary, and determine appropriate filing structures and tax year configurations.
  • Communicate tax determinations and required actions to internal partners and external tax preparers.
  • Determine appropriate tax reporting and tax preparation fee treatment for terminating accounts.

Individual Retirement Account (IRA) Compliance & Support

  • Review IRA account documentation and onboarding materials to confirm completeness and consistency with regulatory requirements.
  • Absorb and review IRA contribution and distribution documentation to confirm compliance with applicable tax rules.
  • Determine required minimum distribution (RMD) status based on account type, beneficiary information, and applicable tax regulations.
  • Review IRA system data for accuracy related to RMD calculations, contributions, and distributions.
  • Identify situations where tax regulations allow alternative or more favorable RMD treatment and communicate guidance to Wealth Advisors.
  • Provide technical guidance regarding IRA and retirement-related tax matters by reviewing governing documents and applying Internal Revenue Service (IRS) rules.

Internal Collaboration & Client Support

  • Serve as a point of contact for internal partners regarding fiduciary tax and IRA-related questions.
  • Communicate status updates, open items, and issue resolutions to Wealth Management associates in a clear and timely manner.
  • Participate in client meetings, as requested, to support complex fiduciary tax or IRA discussions.
  • Collaborate with Middle Office, Operations, and Wealth teams to support accurate, consistent, and compliant account administration.

  • Plans and prioritizes work to meet regulatory deadlines while anticipating risks and downstream impacts.
  • Breaks down complex tax activities into manageable actions, aligns day-to-day responsibilities with departmental objectives, and adjusts priorities as needed to support accurate and timely fiduciary tax and IRA administration.
  • Demonstrates ownership of professional development by maintaining current knowledge of fiduciary tax and retirement regulations, actively seeking feedback, building technical expertise, and applying learning to improve accuracy, efficiency, and consistency in work outcomes.

Qualifications And Education Requirements

  • Education: Bachelor’s degree in Accounting, Finance, or a related field, or equivalent combination of education and relevant experience.
  • Experience / Qualifications: Minimum of two (2) years of experience in tax, accounting, trust administration, or a related financial services role. Working knowledge of fiduciary taxation and retirement account regulations preferred. Experience coordinating with internal partners and external service providers. Public accounting or fiduciary services experience preferred.

  • Maintains strong professional focus and work discipline during business hours by prioritizing job responsibilities, minimizing non-work distractions, and dedicating appropriate attention to critical tax and compliance activities.
