Position Overview
We are looking for a highly organized and proactive Talent Operations Specialist to join our growing People & Culture team. Reporting directly to the Director of People & Culture, you will be the engine behind our recruitment processes. You will own the half-cycle recruitment experience for both internal and external candidates, ensuring a seamless, equitable, and engaging hiring journey.
Key Responsibilities
- Sourcing & Screening
- Execute full-cycle recruiting for assigned roles, including drafting job descriptions, posting roles, and managing candidate pipelines.
- Proactively source high-quality external candidates using various channels (LinkedIn, job boards, networking, etc.).
- Manage the internal hiring and transfer process, ensuring existing employees have clear pathways for internal mobility.
- Conduct initial screening interviews to assess candidate qualifications, cultural add, and alignment with stellar virtual values.
- Ensure an exceptional, communicative, and transparent candidate experience from application to offer.
- Hiring Manager Partnership
- Conduct detailed intake meetings with hiring managers to deeply understand role requirements, team dynamics, and ideal candidate profiles.
- Serve as a strategic advisor to hiring managers, providing market insights, interview best practices, and coaching throughout the selection process.
- Facilitate interview debriefs and drive timely, objective hiring decisions.
- Systems & Operations (Insperity ATS / BrightMove)
- Serve as the primary subject matter expert for the Insperity ATS (powered by BrightMove), managing all job requisitions and candidate stages within the platform.
- Ensure absolute data integrity and ATS hygiene, training hiring managers and interviewers on how to properly use the system.
- Leverage BrightMove’s reporting and analytics capabilities to track key recruiting metrics (e.g., time-to-fill, source of hire, pipeline conversion rates) and present findings to the Director of People & Culture.
- Identify opportunities to streamline recruiting workflows, automate administrative tasks, and improve overall hiring operations.
Qualifications & Requirements
- Experience: 4-5 years of experience in Talent Acquisition, Recruiting Operations, or Human Resources, preferably within a fast-paced or remote-first environment.
- Tech-Savvy: Hands-on experience managing an Applicant Tracking System. Direct experience with Insperity ATS / BrightMove is highly preferred. Experience using the Google Workspace/Suite platform.
- Process-Oriented: Exceptional organizational skills with a keen eye for detail and data accuracy.
- Relationship Builder: Proven ability to build trust and partner effectively with cross-functional leaders and hiring managers.
- Communication: Excellent written and verbal communication skills, with the ability to articulate our employer brand compellingly to candidates.
- Adaptability: Ability to pivot quickly, prioritize competing demands, and thrive in an evolving virtual landscape.
- Analytical Thinking: Ability to leverage system reports to track key recruiting metrics (like time-to-fill and pipeline conversion) and present actionable insights.
