The Opportunity

Key Responsibilities
- Coordinate interviews across multiple time zones, including US and EMEA stakeholders.
- Support employer branding initiatives including careers pages, LinkedIn job promotion, employee referral campaigns and recruitment marketing activities.
- Manage candidate communications throughout the hiring process.
- Schedule interviews, feedback sessions, and hiring team meetings.
- Ensure a seamless and professional candidate experience from application through offer stage.
- Maintain accurate candidate records within the Applicant Tracking System (ATS).
- Support offer generation, onboarding activities, and recruitment-related compliance processes.
- Clock offer approvals, prepare offer documentation and partner with People Operations to ensure a smooth transition into onboarding.
- Track recruitment activity and ensure all hiring workflows are progressing efficiently.
- Produce regular recruitment dashboards, identify hiring trends and highlight opportunities to improve recruitment efficiency and effectiveness.
- Support recruiters and hiring managers with day-to-day recruitment operations.
- Handle confidential candidate and employee information with professionalism and discretion.
- Build trusted relationships with hiring managers, providing guidance on recruitment processes, timelines and best practices.
- Recruitment Operations & Process Improvement
- Partner with teams including HR, People Operations, Legal, Finance, IT, and Hiring Managers to support hiring initiatives and operational excellence.
- Ensure recruitment documentation complies with GDPR and applicable employment legislation across all hiring jurisdictions.
- Own the integrity of recruitment data within the ATS, ensuring candidate records, requisitions and hiring workflows remain accurate and up to date.
- Gather candidate and hiring manager feedback and recommend improvements to the recruitment experience.
- Aid in the development, documentation, and maintenance of recruitment policies, procedures, and best practices.
- Support implementation of process improvements, system enhancements, and recruitment projects.
- Help ensure recruitment practices align with company policies and applicable employment legislation.
- Contribute to the continuous improvement of recruitment reporting, workflows, and operational efficiency.
Requirements
- Minimum 2 years of professional experience in: Recruitment coordination, Recruitment administration, Talent acquisition support, Recruitment agency operations, HR administration with recruitment exposure.
- Strong organizational and administrative skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Experience managing multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office and recruitment systems/ATS platforms.
- Strong customer service mindset and ability to build relationships with candidates and stakeholders.
- Comfortable working across different time zones and with international teams.

Preferred Qualifications
- Recruitment agency experience with a desire to transition into an internal Talent Acquisition role.
- Experience supporting hiring in biotechnology, life sciences, healthcare, pharmaceutical, or technology environments.
- Familiarity with ATS platforms.
- Experience supporting recruitment process improvement or operational projects.
- Familiarity with international hiring environments, particularly across the US and EMEA.
