Talent Acquisition Coordinator

Job Summary:

The Talent Acquisition Coordinator is an integral part of the People and Organizational Health Team supporting the entire recruitment process in accordance with established hiring guidelines and policies. The Talent Acquisition Coordinator will contribute to the overall success of the team, by providing a concierge level of service and quality through coordinating/scheduling all phases of the interviews process for regular fulltime and contingent staffing roles. The Talent Acquisition Coordinator will support the day-to-day team operations in addition to strategic People and Organization Health projects and initiatives.

  • Partners with the People and Organizational Team as well as hiring managers on the administrative tasks associated with recruitment marketing efforts and candidate experience
  • Aids in job posting optimization, recruiting marketing channel development, job board procurement, comprehensive recruitment campaign planning
  • Covers the pre-hire process of new hires including generating applicant offer letters, completing applicant reference check and background and drug screening
  • Leads the scheduling of candidate interviews, virtual and onsite, through our ATSO
  • Organizes travel arrangements and completes expense requests for candidates
  • Compiles Trace3 Swag Welcome Packages and sends to new employees
  • Provides excellent customer service to candidates and hiring managers with questions surrounding our recruiting process, interviews and employment opportunities
  • When needed, assists in direct sourcing of candidates
  • Once implemented, maintains and manages our Vendor Management System
  • Stays abreast of the latest in technology, marketing, and candidate experience offered in the Talent Acquisition industry
  • Supports Talent Acquisition programs development and identifies recommendations to continuously improve the recruitment processes and the tools used to ensure optimal performance

Required Skills and Experience

  • Bachelor’s Degree in Human Resources or relevant field and 1-3 years’ experience as a Recruiting Coordinator or HR Coordinator (not required but a huge plus)
  • Outstanding interpersonal and communication (in-person, written, over the telephone) skills and able to effectively interface with all levels of employees up to executive leadership
  • Previous experience working with an Applicant Tracking System (Greenhouse preferred) and Human Resources Information System (UltiPro) is a plus
  • Highly organized, detail-oriented, excellent time management skills and able to effectively prioritize tasks in a fast-paced, high-volume, and evolving work environment
  • Approach requests with a proactive and consultative manner; listen and understand user requests and needs and effectively deliver
  • Comfortable managing multiple and changing priorities, and meeting deadlines in an entrepreneurial environment
  • Motivated self-starter who loves to troubleshoot and solve challenging problems and feels comfortable working directly with customers

Physical Demands

  • While performing the standard duties of this job, the employee can expect light physical exertion with long periods of sitting, occasional standing and walking; limited bending, crouching, stooping, stretching, reaching, or similar activities; occasional lifting/moving of items up to 25 pounds.
  • Hearing and speech communication in person and over the telephone is essential to fulfilling the duties of this position.
  • Specific vision abilities required to read printed materials and a computer screen; including close vision and the ability to adjust focus.

Work Environment

  • While performing the duties of this job, the employee is frequently surrounded by other employees and their conversations on the telephone and in person.
  • The noise level and indoor office temperature may vary.

Estimated Pay Range

$60,000 USD - $70,000 USD
