About the Role

This is a Talent Acquisition Coordinator role built for someone who wants recruiting to be a career, not just a job. You'll work directly alongside our founder and President, Lori Reed, getting hands-on exposure to every stage of the search lifecycle — sourcing, screening, client coordination, and placement — while also helping keep the business running smoothly day to day. Career Growth

We built this position as an entry point, not a ceiling. As you build fluency in our process and our clients, your scope grows — from coordinating searches to running pieces of them yourself. A typical trajectory looks like:

  • Talent Acquisition Coordinator → Recruiter / Search Associate → Senior Recruiter

You'll learn directly from the President and our team of Recruiters: how to run discovery calls, build candidate slates, manage client relationships, and close offers, with increasing ownership as you demonstrate readiness.

Responsibilities

Talent Acquisition & Recruiting Support (70%)

  • Source candidates via LinkedIn and our internal ATS; identify passive candidates for active searches
  • Re-engage past candidates and pipeline talent for future roles
  • Coordinate and schedule interviews between candidates, recruiters, and clients
  • Support candidate screening logistics — scheduling initial screens, tracking status, prepping candidates ahead of client interviews
  • Keep ATS (Crelate) accurate and current — candidate records, pipeline stages, activity notes, job descriptions, offer letters
  • Manage reference checks and background check coordination for candidates moving toward offer
  • Track referral bonuses and placement follow-up (30/60-day check-ins)
  • Manage LinkedIn engagement on Lori's behalf — replying to comments and building relationships in her voice — as part of learning how personal brand drives candidate and client pipeline
  • Build genuine rapport with candidates and clients: acknowledging milestones like work anniversaries, birthdays, and placements

Executive & Client Support (20%)

  • Manage the President's calendar: internal meetings, client/BD calls, candidate interviews, and reservations for client meetings
  • Own the President's email correspondence and follow-up. Make sure nothing falls through the cracks.
  • Prepare the President for meetings and calls; keep her organized across concurrent searches
  • Support proposal and RFP preparation for enterprise clients

HR, Documentation & Finance Administration (10%)

  • Prepare and track service agreements and Statements of Work (SOWs)
  • Support onboarding: documentation, E-Verify, workers' comp additions for new states, benefits questions
  • Reconcile vendor and benefits invoices to catch billing discrepancies
  • Act as day-to-day liaison to payroll, accounting, insurance, and IT vendors

Requirements

  • Genuine curiosity about people, talent, and what makes someone a strong fit for a role
  • Comfortable initiating outreach to people you don't know (LinkedIn, phone, email)
  • Sharp organizational skills and follow-through; able to juggle multiple searches and a President's calendar without dropping a ball
  • Strong, professional written and verbal communication
  • Proficiency with Microsoft Office and Google Workspace; comfort learning new software (ATS experience a plus, not required)
  • Trustworthy with confidential information
  • Self-starter who's energized by a fast-paced, small-team, remote environment

Prior exposure to recruiting, staffing, or a CRM/ATS is a plus — but real interest in building a recruiting career matters more than experience.
