Responsibilities

  • Own the end-to-end surgical scheduling experience, coordinating seamlessly across patients, surgeons, hospitals, and surgery centers

  • Serve as the primary relationship point for patients navigating facial plastic surgery procedures — bringing warmth, clarity, and confidence to every interaction

  • Consult patients on procedure logistics, timelines, and next steps with a polished, informed presence

  • Manage prior authorizations, insurance verification, and demographic accuracy with precision

  • Collect cosmetic procedure payments at time of booking and handle financial conversations with professionalism

  • Document and maintain scheduling records in the practice management system

  • Stay sharp on evolving insurance requirements and industry best practices

  • Contribute to a high-performing team that values both individual excellence and collective success

Requirements

  • Bachelor's degree in Healthcare, Business, Marketing, or a related field — or 4+ years of relevant healthcare scheduling experience

  • Confident, polished communicator comfortable with patients, physicians, and executive-level contacts

  • Tech-savvy: fluency with EHR systems, Microsoft Outlook, Teams, and multi-line phone systems

  • Proven ability to prioritize and perform in a fast-paced, high-interruption environment

Preferred

  • Background in aesthetics, cosmetic surgery, or luxury client services

  • Experience with consultative or high-value service conversations (including financial discussions)

  • A presence that makes patients feel cared for and confident — from first call to final follow-up
