About the role

Surgical Coordinator professional responsible to serve as the patient point of contact with the practice to maintain open channels of communication, keeping patients engaged and ensuring an efficient flow from patient registration, insurance verification, initial contact, and surgeon consultation through the surgical pathway. This includes completing insurance and program criteria, securing medical clearances, submitting to insurance providers for approval, and supporting patients throughout their care process.

Responsibilities

  • Review patient registration to ensure it is complete and verify all insurance details in the Practice Management System/EMR.
  • Maintain up-to-date surgery criteria with insurance providers and inform staff of any changes/updates.
  • Communicate with patients and coworkers in a professional, enthusiastic, friendly, and positive manner.
  • Initiate patients into the surgery pipeline, serve as their advocate, and schedule initial consultations with the surgeon.
  • Explain insurance benefits, deductibles, coinsurance, financial responsibilities, and any additional medical testing/screening to patients.
  • Secure pre-determinations and pre-certifications for all procedures, including general surgery.
  • Handle physician referrals, ensuring doctor’s information is in the practice management system/EMR and that referrals are acknowledged and processed.
  • Prepare and submit Letters of Medical Necity and ensure all insurance criteria and medical clearances are completed.
  • Upon insurance approval, communicate approval to the patient, collect financial fees due, schedule pre-op consultations, advise on surgery dates, and schedule 1-week post-op appointments.
  • Handle all appeals and denials in conjunction with the patient’s care.
  • Participate in patient education seminars or "meet the doctor" events, educating interested parties about the surgery program.
  • Prepare physical space for seminars/events and assist other staff members to deliver the highest quality of patient care, including teamwork to execute duties as needed.

Requirements

  • High School Diploma and/or GED equivalent.
  • Very strong proficiency using Microsoft Office products.
  • Superior oral and written communication skills.
  • Strong process orientation.
  • Demonstrated capability to interface and maintain effective relationships with all departments and employees in a team-oriented environment.
