About the role
The Surgery Scheduler makes, schedules, and communicates surgery appointments for patients in an efficient and timely manner.
Key accountabilities include excellence in service to a variety of customers (patients, physicians, partner departments, and external stakeholders), administrative accuracy and attention to detail in scheduling and team communication, and maintaining a KPI of cases scheduled per week.
Responsibilities
- Greets and registers patients in a prompt, pleasant, and helpful manner.
- Verifies necessary information: demographics, insurance, primary care physician, procedure, and laterality.
- Schedules and coordinates patients’ surgical appointments for all participating locations and non-surgical related diagnostic studies including, but not limited to, Epidural Steroid Injections and EMG Testing.
- Maintains paper and computerized logging system.
- Answers telephone in a professional manner, answers questions within the area of responsibility, forwards calls, or sends messages by appropriate means to necessary individuals.
- Checks surgery scheduling referral report every morning and makes corrections as needed.
- Presents resources to patients as needed.
- Schedules patients' procedure, pre-operative testing, medical clearance, orthotic (if needed), and post-operative appointments.
- Completes reservation form and sends to appropriate surgical facility along with all facility forms.
- Scans all patient information, reservation and consent forms, as well as fax confirmations into EMR chart.
- Creates referral in EMR and sends insurance/surgical information to the rep for authorization.
- Adds procedure in Physicians Outlook calendar (if applicable).
- Completes and faxes PATS prescriptions/clearance form or "Sx Quick fax/Referral request" to the patient’s primary care physician.
- Obtains requested results from PCP/surgical facility and scans into EMR chart with necessary communication to clinical team.
- Reviews physicians' schedules weekly. For any cancellations/rescheduled cases: sends notification to facility and physician. Clinical team will work with scheduler to fill OR schedule.
- Follows up 10 days prior to patients' surgical date for all lab, EKG, and clearance results. Faxes to appropriate facility, PCP, and scans into EMR along with fax confirmations, assigning to your physician’s pool.
- Documents/scans all appropriate information via EMR.
Qualifications
- Two years of work experience in a medical office setting with medical receptionist or surgical scheduling experience.
- Knowledge of medical terminology, third-party billing, insurance regulations, and ICD-9 and CPT coding desirable.
- Computer skills including, but not limited to, MS Office.
- Minimum high school diploma or equivalent required.
Pay
$18.00/hr - $25.00/hr
Schedule
Monday through Friday, 8 AM to 4:30 PM
