About the role

The Surgery Scheduler / Surgical Coordinator supports a high-volume practice with four orthopedic surgeons providing exceptional care to patients. This role plays a critical role in coordinating surgical procedures, managing scheduling logistics, communicating with patients and providers, and ensuring all required documentation and authorizations are completed accurately and efficiently.

Responsibilities

  • Cook up and schedule surgical procedures, ancillary testing, and related patient appointments.
  • Work closely with orthopedic surgeons and clinical staff to identify appropriate surgery dates, times, and operating room availability.
  • Ensure procedures are scheduled in the appropriate surgical setting based on physician preferences and procedural requirements.
  • Prepare and maintain patient reports, surgery packets, and other necessary documentation.
  • Process and review incoming and outgoing surgery-related forms and records.
  • Verify insurance requirements, obtain pre-authorizations, and assist with financial and accommodation arrangements when necessary.
  • Serve as a patient resource by providing guidance regarding surgical logistics, preparation, and scheduling requirements.
  • Maintain working knowledge of scheduling and healthcare software systems utilized in the surgical scheduling process.
  • Review future schedules to maximize operating room utilization and provide recommendations to physicians regarding scheduling opportunities.
  • Communicate effectively with physicians, patients, families, insurance companies, and internal departments to ensure a seamless surgical experience.
  • Perform other duties as assigned in support of clinic operations.

Requirements

  • High School Diploma or GED required.
  • Minimum of three (3) years of office, clerical, healthcare scheduling, or related experience required.
  • Experience in surgical scheduling, orthopedic practices, physician offices, or healthcare administration preferred.

  • Proficiency with computer systems and scheduling software.
