About the role
The Surgery Scheduler is responsible for coordinating and scheduling surgical procedures, ancillary testing, and related patient services to ensure efficient operating room utilization and a seamless patient experience. This role serves as a liaison among physicians, patients, insurance providers, and clinical departments, requiring strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced healthcare environment.
Responsibilities
- Schedule and coordinate surgical procedures, diagnostic testing, and related services based on physician preferences, patient needs, and facility requirements.
- Recommend surgery dates and times to providers while ensuring appropriate operating room utilization and scheduling efficiency.
- Maintain knowledge of surgical procedures, physician preferences, equipment needs, and scheduling requirements.
- Ensure surgical cases are scheduled accurately and within established guidelines and timeframes.
- Prepare and maintain reports, schedules, and patient documentation related to surgical procedures.
- Utilize scheduling and healthcare information systems to manage appointments, procedures, and patient information.
- Review future operating room schedules and collaborate with physicians to maximize available resources.
- Cook up and maintain surgery-related documents, forms, and correspondence.
- Serve as a resource to patients by providing guidance regarding surgical logistics, pre-operative requirements, insurance authorizations, and financial arrangements.
- Coordinate surgery pre-certifications and obtain necessary approvals from insurance carriers.
- Collaborate with physicians, clinical staff, and ancillary departments to facilitate a smooth surgical process.
- Perform other related duties as assigned.
Qualifications
- High School Diploma or GED required.
- Minimum of three (3) years of office, clerical, healthcare scheduling, or related experience required.
- Previous surgical scheduling or healthcare experience preferred.

Physical Requirements
- Frequent sitting, computer use, and keyboarding.
- Occasional standing, walking, reaching, and bending.
- Ability to communicate effectively in person and by telephone.
- Ability to lift, carry, push, and/or pull up to 20 pounds, with occasional assistance for heavier items as needed.
