This is a 1.0 FTE (80 hours every 2 weeks) salaried position on the Day/Evening/Night shift, working weekends as needed. The role is based at our Midway Corporate Campus in Saint Paul.

About the role

The Supervisor leads staffing advisors through all staffing functions, including master schedule balance, schedule production, changes to posted schedules, trades, e-time and schedule edits, orientation schedules, near-term recruitment, and daily staffing. This role is responsible for the execution of daily operations for their staffing advisor team within Fairview's System Operations Center (SOC).

The Supervisor ensures consistency in performance, process standards, and technology use for staffing and scheduling workflows within the segmented work model and the site(s) they support. This role also supports alignment in standard work across the units and departments supported by the SOC. Occasionally, the Supervisor completes Staffing Advisor work and rotates to provide onsite/on-call coverage for escalation support.

Responsibilities

  • Collaborates with Staffing and Scheduling leadership, unit leadership, and frontline teams to ensure Staffing Advisors consistently meet staffing and scheduling requirements.
  • Manages a team of Staffing Advisors for segmented work and site(s) supported.
  • Serves as a subject matter expert for the Staffing Advisors' segmented workflow(s).
  • Accountable for oversight of day-to-day operations, ensuring sites/units are staffed to provide an appropriate level of care.
  • Maintains situational awareness of team staffing and scheduling needs, identifying and mitigating potential bottlenecks.
  • Identifies barriers and supports the Staffing Advisor team in problem-solving and mitigations.
  • Coaches Staffing Advisors to implement problem-solving mechanisms in both routine and emergency situations.
  • Ensures communications are completed in a timely and accurate manner.
  • Facilitates and participates in daily SOC and system huddles and other related meetings.
  • Supports the mission, goals, and objectives of the System Operations Center and M Health Fairview by driving standard work toward department and system goals.
  • Conducts daily huddles with staff to monitor operations and resolve/escalate barriers.
  • Conducts frequent, timely, and appropriate communication through one-to-one sessions and employee rounding.
  • Delegates appropriate tasks to staff and serves as a role model.
  • Implements and communicates Human Resources policies and procedures fairly and consistently.
  • Selects top talent, matching organizational needs with appropriate skill sets.
  • Conducts timely employee performance appraisals.
  • Uses corrective discipline in accordance with applicable policy or union contract to mitigate workplace behavior problems.
  • Monitors employee overtime, absenteeism, and takes appropriate action to identify and correct issues.
  • Provides oversight and ensures completion of training for employees, including orientation, in-services, and competency validation.
  • Completes unit staff hour schedules to ensure adequate coverage.
  • Investigates and responds appropriately to all complaints, taking effective corrective action when necessary.
  • Demonstrates ability to identify and resolve interpersonal and/or professional conflicts.
  • Participates on committee assignments.
  • Assumes responsibility for compliance with internal and external regulations, policies, and procedures.
  • Is familiar with union contracts and promotes effective labor relations policies.
  • Develops and maintains a healthy, supportive work environment, demonstrating behaviors consistent with service excellence.
  • Exemplifies excellent customer relations in interactions with all customers and key stakeholders.
  • Continuously builds customer understanding by listening to customers and anticipating their needs.
  • Takes action to meet and exceed the needs of all customer groups and implements strategies to improve customer satisfaction.

Requirements

  • Bachelor’s degree required or 6 years of leadership experience.
  • 2 years of experience with staffing and scheduling or healthcare.
  • 1 year of formal or informal (mentor, trainer, lead) leadership role.

Preferred Qualifications

  • 3 years of experience with staffing and scheduling or healthcare.
  • Strong Excel and scheduling system experience.

Pay

The posted pay range is for a 40-hour workweek (1.0 FTE). The actual rate of pay offered may depend on several factors, such as FTE, skills, knowledge, relevant education, experience, and market conditions. Additionally, the organization values pay equity and considers internal equity when making offers. Hiring at the maximum of the range is not typical. If eligible, a sign-on bonus may be offered based on the approved program at the time of the offer.
