Supervisor of Cemetery Administration
About the role
The Cemetery and Sales Support Supervisor plays a crucial role in allowing the sales team to focus solely on selling products and services and closing deals by managing all clerical and transactional tasks related to processing, auditing, and tracking sales contracts. Additionally, this role oversees and supervises the administrative processes for burial records and the coordination of interment services.
Responsibilities
- Supervise the Cemetery and Sales Administrative Staff: Oversee employees engaged in clerical and record-keeping functions.
- Conduct performance evaluations for assigned personnel.
- Cemetery Support Functions:
- Ensure accurate and efficient handling of burial and interment records.
- Plan and coordinate interment services, ensuring compliance with regulations and policies.
- Assist families and individuals with interment arrangements and record inquiries.
- Sales Support Functions:
- Provide essential support to the sales team, allowing them to focus on selling products and closing deals.
- Adapt support functions based on the specific needs of the sales team.
- Assist Family Service Counselors by helping resolve concerns or questions during the sales process.
- Efficiently track contracts and ensure accurate documentation.
- Compile daily lists of arrangements (e.g., appointments, deliveries) for the sales team and delegate tasks to sales team associates.
- Administrative Duties:
- Handle daily transactional tasks related to the sales department.
- Collaborate with the Sales Manager on projects and provide non-funeral home administrative support as needed.
- Maintain an accessible and organized filing system for the sales professionals to ensure easy retrieval of essential documents.
- Data Entry and Inventory Tracking:
- Perform data entry duties, including tracking sold inventory.
- Maintain accurate records of sales-related information.
- Sales Contract Processing:
- Create and process sales contracts promptly, ensuring all necessary details are accurately captured.
- Regularly audit sales contracts and report any concerns or required corrections to the Sales Manager.
- Order Processing and Service Scheduling:
- Ensure timely processing of customer orders.
- Coordinate service scheduling to meet client needs.
- Expedite requests for rush orders when necessary.
Requirements
- High school diploma or equivalent.
- Appropriate state Life Insurance license or the desire and ability to obtain one is preferred.
- Previous customer service and/or sales experience preferred.
- Proficient with MS Office suite and databases preferred.
- Knowledge of HMIS, Digicon, and Passare is highly preferred or the aptitude and tech savviness to navigate and learn the required systems.
- Valid state driver's license with an acceptable driving record.

Work Environment
This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. The duties associated with this position are generally performed in an indoor office setting; however, some duties may be performed outdoors. Outdoor duties may require exposure to natural elements such as inclement weather, extreme temperatures, uneven ground, dust, gas, and/or fumes, or unstable grounds.
