Bargaining Unit Announcement: This is a bargaining unit position with American Federation of State, County & Municipal Employees (AFSCME).
Position Duties and Responsibilities
- Student Event Planning & Coordination: Coordinate and execute student-centered events, programs, ceremonies, and activities that support recruitment, retention, engagement, alumni relations, and student success within ACES. Manage event logistics, facilities, travel, staffing, vendors, budgets, communications, and assessments. Collaborate with faculty, staff, students, alumni, industry partners, and university stakeholders to deliver major college events, including Welcome Home Aggies, ACES Night Out, Heritage and Horizon Ceremonies, recruitment and outreach activities, and other special programs. Lead planning and implementation of the Sam Steel Legacy Celebration each semester.
- Marketing, Communication, & Promotion: Develop and distribute marketing and communication materials that promote ACES academic programs, services, events, and student opportunities. Manage the APO Monthly Bulletin, website content, social media, brochures, digital communications, and targeted outreach campaigns. Ensure communications are accurate, timely, aligned with university branding standards, and support recruitment, retention, engagement, and visibility goals.
- Student Services & Advocacy: Serve as a primary resource for prospective and current students by providing information and guidance related to scholarships, financial aid, academic programs, career pathways, and student support services. Assist students in navigating university processes, connect them with campus resources, address concerns, and promote engagement, persistence, academic achievement, retention, and graduation.
- Administrative Support: Provide administrative and operational support for the Academic Programs Office. Serve as a primary point of contact for students, faculty, staff, visitors, and external stakeholders. Maintain records, prepare correspondence and reports, manage databases, coordinate office communications, monitor office operations, and support budget, procurement, and financial processes. Collect, analyze, and report program data to support assessment, planning, accountability, and continuous improvement. Assist with operational procedures, special projects, and other duties as assigned by the Associate Dean.
Qualifications
- Education and Experience: High School diploma + 3 years of relevant experience or an Associate's Degree + 1 year of relevant experience.
- Preferred Qualifications: Organization and Project Management – Ability to manage multiple priorities, deadlines, events, administrative processes, and projects simultaneously while maintaining attention to detail. Communication and Relationship Building – Strong written, verbal, and interpersonal communication skills with the ability to effectively engage students, faculty, staff, and external stakeholders. Technology and Data Management – Proficiency in utilizing software systems, databases, CRM platforms, websites, and office productivity tools to manage information, generate reports, and support operations. Administrative and Financial Operations – Ability to coordinate administrative processes, maintain records, manage purchasing and travel transactions, and ensure compliance with university policies and procedures. Customer Service, Problem Solving, and Collaboration – Commitment to providing high-quality service, exercising sound judgment, solving problems proactively, and working effectively both independently and as part of a team.
