About the Role
Under direction from the Clinical Coordinator, the Staffing Scheduling Coordinator actively coordinates scheduling and staffing proactively for designated areas within OUMC and the Children’s Hospital, and collaborates with Edmond Medical Center to provide staffing resources. This role works closely with department leadership and staff to understand patterns and needs, ensuring budget, compliance, and patient safety guidelines are met.
Responsibilities
- Obtains staffing resources for inpatient Nursing and other clinical staffing for OUMC and the Children’s Hospital.
- Allocates Safety Attendant resources per policy as needed.
- Assists nursing units in meeting staffing ratios per Staffing Matrixes and department leader requests.
- Strives for continuous improvement in customer service and processes in the Staffing Office.
- Performs administrative duties, including reconciling agency billing invoice statements, preparing and maintaining reports, and other documents as needed.
- Applies Hospital Policy and Procedure related to Nursing staff expectations of time, attendance, floating, travelers, staffing contracts, cancellations, and other policies.
- Documents and validates staffing needs.
- Communicates daily or as needed with staffing agencies to obtain outside staffing resources.
- Understands employee scheduling patterns, requests, and preferences; collaborates on resolution and communication if alterations are needed.
- Reviews requests for paid time off (PTO), vacation, maternity leave, Family Medical Leave (FMLA), and unpaid leaves of absence.
- Maintains attendance records and communicates with department leadership as needed.
- Performs other duties as assigned.
Requirements
- High School Diploma or GED required; Associate’s degree in operations, business, or leadership-related field preferred.
- Three (3) years of experience in an acute care hospital setting preferred.
- Strong preference for scheduling, timekeeping, or payroll experience within a fast-paced environment.
- Experience with computer-based office software and web-based applications (e.g., Microsoft Office, Excel, Peoplesoft) preferred.
Skills
- Working knowledge of Microsoft Word and Excel.
- Ability to organize, plan, coordinate, and evaluate staffing needs for the hospital and individual patient care units.
- Ability to maintain collaborative and effective working relationships with multiple departments, outside agencies, and healthcare professionals.
- Excellent verbal and written communication skills.
- Strong customer service skills.
- Good computer skills.
- Analytical and critical thinking abilities with effective decision-making and negotiation skills.
- Ability to manage multiple tasks simultaneously.
