About the role

The Staffing Coordinator, Advanced, will report to the Senior Manager, Talent Acquisition Operations. The Staffing Coordinator provides vital administrative and operational support to the recruiting team, ensuring a smooth and positive experience for candidates and hiring managers throughout the hiring process. This role manages interview scheduling, pre-employment background checks, onboarding coordination, and employment eligibility processes such as I-9 verification and E-Verify submissions.

Responsibilities

  • Cook up both standard and complex interviews between candidates and hiring teams
  • Communicate interview details promptly and professionally to all parties
  • Coordinate interview logistics, including booking conference rooms and arranging travel accommodations when required
  • Initiate and monitor pre-employment background checks and drug screening through an authorized provider
  • Verify that all pre-employment procedures have been finalized and properly documented prior to the commencement of employment
  • Communicate onboarding details in a timely manner to new hires and hiring managers
  • Ensure interview and background check trackers are maintained with accuracy, collaborate effectively when appropriate, and obtain necessary approvals in line with established business protocols
  • Offer in-person support to facilitate the onboarding process for new employees on their first day
  • Initiate the I-9 process for designated new hires and confirm completion as required by federal regulations
  • Process and maintain E-Verify submissions accurately and within required timeframes
  • Ensure hiring practices comply with company policies and employment regulations
  • Maintain up-to-date candidate and new hire information in the Applicant Tracking System (ATS) and HR systems
  • Generate reports on hiring activity, background check status, and onboarding metrics as needed
  • Provide administrative assistance to the Talent Acquisition and HR teams as needed
  • Help drive a positive candidate experience by maintaining clear communication and professionalism at every stage

Qualifications

  • At least 5 years of prior relevant experience
  • High School Diploma or GED highly preferred
  • Experience in human resources, recruitment coordination, or administrative support
  • Strong knowledge of I-9 and E-Verify compliance processes
  • Experience initiating, monitoring and adjudicating pre-employment background checks, to include drug screen results
  • Excellent organizational and time management skills with strong attention to detail
  • Proficiency with Microsoft Office Suite and experience using an Applicant Tracking System (ATS) or HRIS
  • Strong interpersonal and communication skills; able to handle sensitive information with confidentiality
