Staff Corporate Events Manager
About the role
We are seeking a Corporate Events Manager to own Horizon3.ai's most significant internal and external flagship programs - including our Sales Kickoff, Company Kickoff, President's Club, and User Conference. This is a senior individual contributor role responsible for the end-to-end strategy, planning, and execution of programs that shape company culture, celebrate performance, and bring our customer community together at scale.
Responsibilities
Own the end-to-end planning and execution of Horizon3.ai's annual Sales Kickoff and Company Kickoff - including venue selection and contracting, agenda architecture, speaker management, AV and production, attendee logistics, and on-site execution.
Partner with Sales Leadership, Revenue Operations, and People to align SKO programming to go-to-market priorities, product launches, and enablement goals - ensuring the event is strategically useful, not just motivational.
Partner with Executive Leadership and Marketing on CKO programming and messaging - translating company strategy and cultural priorities into a cohesive, engaging experience for the full company.
Manage all vendor relationships for SKO and CKO - including venues, hotels, AV and production companies, catering, entertainment, and travel coordination - with a disciplined budget lens and a bias toward quality over extravagance.
Build and maintain a full project plan for each program with clear owners, milestones, and dependencies - ensuring nothing is left to the last minute and stakeholders always know where things stand.
Own post-event surveys and debrief processes, capturing attendee feedback and sharing actionable insights with leadership to inform future program design.
Own the full lifecycle of Horizon3.ai's President's Club program - from destination selection and vendor contracting through on-site execution and post-trip recognition.
Lead the strategic program design in partnership with Product Marketing, Customer Marketing, and Customer Success - ensuring the agenda is built around what customers actually need and want, not just what internal teams want to present.
Manage all conference logistics: venue selection and contracting, speaker management, sponsorship coordination, registration, AV and production, signage and branding, catering, and attendee experience from arrival to close.
Partner with demand gen and field marketing to integrate pre-event promotion, registration campaigns, and post-event follow-up into the broader marketing motion.
Ensure the User Conference reinforces Horizon3.ai's enterprise brand positioning and leaves attendees with a stronger sense of community, product confidence, and loyalty.
Provide operational support to the broader events team on Horizon3.ai's tier 1 field event presence - including Black Hat and RSAC - as capacity allows and as prioritized by the Director of Field Marketing.
Own the budget for all programs under your remit - managing spend with a quality-first, waste-averse lens and maintaining accurate, up-to-date budget tracking at all times.
Lead all vendor negotiations and contracting for flagship programs - including venues, hotels, AV and production companies, travel management firms, gifting and swag vendors, and entertainment partners.
Build and maintain a preferred vendor network across key event categories - so Horizon3.ai isn't starting from scratch every program cycle.
Ensure all contracts are reviewed through the appropriate legal and finance approval process before commitments are made.
Manage senior stakeholder relationships across Sales, RevOps, People, Executive Leadership, Product, Customer Success, and Marketing - setting clear expectations on timelines, deliverables, and decision points, and following through without needing to be chased.
Prepare and deliver program updates to leadership at regular intervals - covering timeline status, budget pacing, key decisions needed, and risks on the horizon.
Navigate competing priorities and strong opinions from senior stakeholders with professionalism, clear communication, and a bias toward making a decision and moving forward.
Requirements
7+ years of experience in corporate events, conference management, or experiential marketing - with direct ownership of multi-day, multi-stakeholder programs at scale.
Proven track record planning and executing internal flagship events - SKO, Sales Kickoff, or equivalent - with full ownership from strategy through on-site execution.
Experience designing and executing large scale attendee customer-facing conferences or user summits - including agenda development, speaker management, registration, and on-site production.
Experience managing President's Club or equivalent incentive travel programs - including destination selection, vendor contracting, and high-touch attendee experience management.
Exceptional project management skills - able to build and manage complex, multi-workstream project plans across multiple programs running simultaneously without losing detail or momentum.
Strong vendor management and negotiation skills - experience contracting with venues, hotels, AV and production companies, and travel management firms at meaningful scale.
Highly organized with a strong attention to detail and a bias toward documentation, process, and proactive communication.
Demonstrated ability to manage executive stakeholders - setting clear expectations, delivering difficult updates when needed, and navigating competing priorities without losing forward momentum.
Comfortable working in a fully remote, fast-moving environment and willing to travel on-site for program execution.
Strong written and verbal communication skills - able to brief executives, align cross-functional teams, and communicate program status clearly at every level of the organization.
